Job Description

As a Hub Coordinator working in a job share arrangement, you will be the friendly first point of contact for all enquiries and guests arriving at our Space NI Hub. You'll represent both Antrim Enterprise Agency and Space NI, managing bookings, supporting clients, and ensuring the business hubs runs smoothly.

Your role will blend administration, event management, and customer service, with some digital marketing to keep our community engaged. You will also be responsible for planning events throughout the year to support local business and council plans.

Success in this role requires strong project and time management skills, with the ability to work independently as well as collaboratively with your job share partner and the wider team.

You will liaise regularly with the CEO and CCO, working closely with your job share colleague to provide seamless coverage and excellent client service. Together, you will be vital members of our team, contributing directly to the continued success of Antrim Enterprise Agency by ensuring smooth day-to-day hub operations and effective communication across the organisation.

Key Responsibilities:



Welcome visitors and handle enquiries at the reception Acting as a key holder and managing security procedures Manage office bookings and event reservations Supporting clients with onboarding, documentation, and general administration Run and manage business events from setup to completion, coordinating teams and stakeholders, refreshment stock, and client follow-ups Liaise with third-party suppliers for the buildings, council, and Antrim Enterprise Agency Maintain up-to-date marketing content and social media Assisting with invoicing, basic bookkeeping, and financial record-keeping Monitoring supplies and managing stock levels for office essentials Cover occasional duties at both AEA and Space NI locations in Antrim Ensuring the office environment is clean, safe, and well-maintained Liaising with CCO and CEO and reporting on hub usage, client feedback, and other metrics as required

What We're Looking For:



Experience managing office or coworking spaces, including reception and facility operations.

Coordinating events, workshops, or meetings from planning through to successful delivery.

Strong customer service and client relationship management skills in a professional environment.

Basic bookkeeping, invoicing, and financial administration experience (advantageous but not essential).

Proficiency with office management software, booking systems, CRM platforms, and social media.

Ability to work independently while also collaborating effectively within a team.

Managing vendor and supplier relationships, including facilities and maintenance coordination.

Excellent project and time management skills, with a proven track record of juggling multiple tasks and meeting deadlines.

Experience in marketing or promoting business services is desirable.

Reporting on hub usage, client feedback, and other key performance metrics as required.

Strong problem-solving skills and the ability to manage conflicts in a busy office environment.

Comfortable working in a flexible job share arrangement and committed to supporting both Antrim Enterprise Agency (AEA) and Space NI.
