Job Description

We are recruiting for a Business Services PA to join our London office on an 18 month fixed term contract. This is an exciting opportunity for an experienced PA to work as part of a team coordinating a multi-million-pound project.



Department purpose



Business Services provides excellent client care and technical expertise in the following areas: Hospitality Services (Front of House, Catering, Communications Centre, Contract Operations & Health & Wellbeing Centre), Document Services (The Bridge, Practice Support, Scanning & Electronic Bibles, Legal Records Management, Document Checking, Document Production, Creative Services and Reprographics), Engineering, Security, Business Continuity, Real Estate, and Building Fabric & Projects. Business Services delivers both business operations and strategic advisory services to the Firm including complex projects, for example real estate projects.



Role Purpose



Support the Senior Leadership Team and Managers within the Business Services department during a large multi-million-pound project. The role involves assisting with various project workstreams that need careful coordination to ensure efficient operation. The main purpose of this role is to manage and coordinate the various elements involved in the project.



The role will develop relationships within the Business Services senior leadership team in London, and sometimes globally, to support large departmental projects and the various workstreams that arise from these. It requires a high degree of organisational intelligence as it interfaces with all components of the organization. This is a busy and interesting role that requires the ability to multitask and work under tight deadlines.



Role and responsibilities

Project coordination: Collaborate with various departments and external consultants to ensure project goals are met, working on multiple workstreams within a complex project. Update all databases and track the project workstreams with the various stakeholders. Communicate with all stakeholders and follow up on actions that come from each meeting. Complex diary management for the heads of department and senior team. Book travel and accommodation, and arrange high-level meetings. Update calendars daily, ensuring all relevant parties are informed of changes. Effectively manage schedules, deadlines, and multiple tasks. Handle a variety of tasks and adjust to changing priorities, while managing deadlines, and ensuring timely completion of tasks. Maintain open communication between team members, stakeholders, and project managers. Ad hoc administration: Compile expense reports, manage travel for the wider team.


Key requirements

Proven experience as an EA/PA or in a similarly high-level administrative role. Experience in project coordination and managing complex diaries is highly desirable. Experience working closely with a senior leadership team. Problem-solving skills: ability to adapt to changing priorities and handle a variety of tasks with flexibility. Excellent organization and time management skills. Strong communication and interpersonal skills. Ability to manage multiple tasks and prioritise effectively. Proficiency in Microsoft Office Suite and other relevant software. Proactive, detail-oriented, and capable of working in a fast-paced environment while maintaining a high standard of work.
