In 2023, Tiflex Ltd acquired Acoustic Polymers Limited, a small and dynamic business specializing in developing polymeric compounds and processes. These novel and cutting-edge solutions are predominantly used in acoustic signature management in subsea environments. Customers are predominantly in the public domain with unique and interesting opportunities.
We are looking to expand this area of business and develop these opportunities. To that end we are looking to recruit a Business Support Administrator to work at Acoustic Polymers, near Gloucester. Successful candidates shall be required to integrate into a small team of under 10 employees', learning and developing new processes and materials, predominantly polyurethanes, poly-urea's, epoxies and silicones.

Summary
APL is seeking a proactive and detail-oriented Business Support Administrator to join our well-established and friendly team. This role will support a variety of business functions including administration, purchasing, Quality Management, and Health & Safety. The ideal candidate will be highly organised, reliable, and able to work on their own initiative while supporting multiple areas of the business.
Key Responsibilities:
1. General Administration
Answering incoming phone calls and responding to emails in a professional and timely manner;
Managing the company diary and coordinating visits from consultants, auditors, and customers.
2. Quality Management System
In conjunction with the Head of Quality & Compliance:
Monitoring and updating the approved supplier list;
Assisting with tracking progress on company objectives;
Updating and monitoring project development records;
Maintaining the improvement and non-conformance spreadsheet.
3. Purchasing & Stock Control
Monitoring stock levels and identifying purchasing requirements based on incoming customer orders;
Purchasing approved materials from approved suppliers;
Raising and processing purchase orders;
Managing supplier invoices using Xero.
4. Product Administration
Producing certificates of conformity for finished products;
Booking couriers and arranging product dispatch.
5. Health & Safety Support
In collaboration with the H&S consultant:
Updating H&S related records and documentation;
Maintaining the training matrix and associated training records;
Recording maintenance activities;
Conducting basic site inspections (e.g. fire extinguishers, first aid equipment).
Skills and Experience:
Essential:
Strong IT skills, including proficiency in Office 365 (Outlook, Excel, Word, etc.);
Ability to learn and use specialist software (e.g. for creating H&S data sheets);
Excellent communication skills, both written and verbal;
High level of accuracy and attention to detail.
Desirable:
First Aid at Work certification;
Experience with Xero accounting software;
Prior experience working within ISO 9001 quality frameworks or similar.
