Job Description

Haslams Estate Agents are looking for a proactive, self-motivated individual to provide part time administrative assistance across a range of business support areas.

This is a varied role requiring a keen eye for detail, great organisational skills, a willingness to learn and the ability to maintain absolute confidentiality if handling sensitive information.

You will be part of our experienced team within a leading Letting and Estate Agency, based at our landmark Reading office.

Key Areas of Responsibility



Compliance Administration:

Maintain accurate records within the learning management system; generate reports for upcoming training expiries and chasing completion of these courses.

Health and Safety:

Book training courses and maintenance visits; support internal H&S checks; assign training; maintain the Lone Worker portal; update related excel spreadsheets.

Fire Risk:

Arrange annual servicing for fire extinguishers, alarm systems, and portable appliance testing, ordering alarm key fobs, updating security data.

Fleet Management:

Arrange vehicle servicing and maintenance; updating fleet insurance documents, coordinate car logistics for appointments; manage fuel card administration; process parking permit applications; conduct vehicle checks; maintain the fleet tracker portal.

Personal Assistance:

Arrange internal and external meetings; book meeting rooms and venues; coordinate travel arrangements; carry out ad hoc typing duties.

IT and Telephony:

Liaise with our outsourced IT provider to coordinate and resolve IT and telephony issues.

Office Management/Facilities:

Manage office equipment, apparel and stationery orders; arrange servicing and maintenance; source competitive quotations and procure office equipment as required.

HR Administration:

Maintain the HR Information System (HRIS); respond to HRIS queries; draft and post job advertisements; prepare employment contracts and onboarding documentation; handle reference requests. Mo does very little of this

Events Support:

Assist with planning and running internal and external events, including guest list preparation, RSVP tracking, venue booking, catering arrangements and room setup.

Accounts:

Perform basic accounts tasks such as compiling receipts and raising miscellaneous invoices.

Working pattern:



Part time hours ideally between 15 and 20 hours per week, spread over 4-5 days each week. During in house events, additional hours may be offered as paid overtime or time off in lieu if desired

Skill requirements:



Proven office experience or administrative background Attention to detail Good level of literacy and numeracy, and accuracy of work Highly trustworthy with the ability to maintain absolute discretion and confidentiality if there is a need to deal with sensitive information, such as HR or payroll information Good interpersonal skills Good negotiation skills to obtain competitive quotes for office works and contracts Driving licence preferred but not essential
