We are looking for an enthusiastic Business Support Administrator to join our growing Building Control team.
Vantage Building Control is a Registered Building Control Approver, with offices in Suffolk, Norfolk, London, and Kent. Vantage Building Control was developed to set up and maintain a highly professional and compliant building control service to deliver technical excellence, exceptional service and committing to continue to raise standards within the industry.
You will work alongside the business support team and our surveyors, providing a comprehensive administrative and business support service. You will receive ongoing training, and support to enable you to develop the skills, knowledge and behaviours needed to undertake a comprehensive range of business support administrative duties.
The role:
As a Business Support Administrator, you will play a key role in supporting the smooth and efficient delivery of our Building Control services. You will provide professional and proactive administrative support to our surveyors, managers, and clients, helping to ensure the smooth operation of administrative processes across the business.
You will act as a central point of contact within the team, managing key administrative processes, maintaining accurate records, and ensuring that all documentation, communications, and project-related administrative tasks meet the required legislation, regulations, and associated standards.
Responsibilities
Provide a comprehensive, professional, and efficient administrative support to the business and our surveyors in the delivery of the full range of Building Control services
Responsible for dealing with a wide range of telephone enquiries and correspondence - working on own initiative to take action as appropriate and referring issues to team members
Provide a high-quality administrative support service
Ability to communicate and to present information clearly and concisely both verbal and written, with good attention to detail
Ensure that all data-entry, documentation, printing, filing duties and relevant and appropriate information are performed accurately and in a timely manner
Respond promptly and thoroughly to any requests for information
Processing new applications and advising applicants/agents when applications are invalid and what additional information may be required to comply with legislation and guidance
Issuing of statutory documents, including the Initial Notices and Water Consultations.
Undertake housekeeping of electronic data systems ensuring clean live data is retained at all times
Creating and issuing fee proposals
Ensure all company processes/QA procedures are followed
Act as a point of contact for clients wishing to contact an Inspector to arrange a site inspection
Communicating effectively, developing, and maintaining excellent internal and external stakeholder relationships
Reviewing and following up of tasks
Skills, Knowledge and Experience
Experience working in building control is desirable but not essential
Excellent communication skills both oral and written and be customer focused
Great working knowledge of Microsoft Office as well as confidence using bespoke IT systems
A keen eye for aesthetics and details
The ability to access input & retrieve data from a computer system competently and accurately
A confident candidate who will be responsible for taking complete ownership over their work and being able to work independently as well as in a team
The ability to manage and execute a daily workload without extensive supervision
A quick and adaptable learner who will become familiar with and adhere to the current administration processes
Accurate scanning of documents and subsequent digital filing
Ability to follow policy and procedures
Good Attention to detail and problem-solving skills
Ability to be flexible and adapt to change
Some understanding of the construction industry would be of advantage
