The role
The Business Support & Executive Assistant will be responsible for providing high-level administrative and operational support to the UK Chief Underwriting Officer (CUO) and Chief Risk Officer (CRO). This role involves managing diaries, coordinating meetings and travel, preparing reports and presentations, and serving as a key point of contact between the executives and internal/external stakeholders.

Key accountabilities
Coordinate all communications, including calls, emails, reports, letters - incoming and outgoing
Inbox management: Prioritise and manage demands and correspondence
Intensive diary management; gatekeeping and time management skills of the essence
Travel management: arrange itineraries, bookings, meetings, and all transfers for business travel
Expenses: process all expenses and act as proxy for direct reports
Maintain relationships with key members of the company and regulators
Collaborate with wider Underwriting team on meetings, projects, deadlines, statutory requirements
Anticipate and plan for various reporting deadlines within the Underwriting calendar
Support with quarterly Board Meeting including document management, deadlines, review process
Create and assist with office processes and systems to enhance company operations
Assist with daily ad-hoc office management related issues
Co-manage on-boarding for new starters and off-boarding for leavers
Cover for EAs (holidays, sick days)
Manage deliverables and follow-ups both incoming and outgoing
Produce timelines for and support any active projects.
Act as the point of contact among executives, employees, clients, and other external partners and delegate tasks accordingly.
Act as an extended arm of Rich, attending meetings on his behalf, taking away action points and making them happen.
Coordinate annual and mid-year review process
On call out of hours during peak times
Diary management and meeting coordination
Travel bookings, itineraries, and expenses
Document and presentation support
Ad-hoc administrative tasks

Skills & experience
Proven experience as an Executive Assistant, Personal Assistant, or similar administrative role supporting senior executives
Prior experience working infinancial services, insurance, or a professional services environment is strongly preferred
Exceptional organisational and time-management skills, with the ability to manage multiple priorities in a fast-paced setting
High level of professionalism, discretion, and confidentiality when handling sensitive information
Excellent written and verbal communication skills, including the ability to draft and proofread correspondence, reports, and presentations
Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with document management and collaboration tools (e.g. SharePoint, Teams)
Skilled at managing complex diaries, coordinating meetings, and organising domestic and international travel
Able to anticipate the needs of executives and take proactive steps to ensure their time is used efficiently
Comfortable liaising with internal and external stakeholders, including senior leadership, clients, and regulators
Meticulous attention to detail and a commitment to accuracy
Strong problem-solving skills with a flexible, "can-do" attitude
Experience in preparing board packs, meeting agendas, and minutes is desirable
