Business Support Specialist

to join our Internal Sales team.

Role Overview:



The

Business Support Specialist - Internal Sales

will play a key role in supporting the internal sales team by managing administrative tasks, ensuring smooth communication between departments, and assisting with customer inquiries, order processing, and data management. This role is ideal for someone with strong organisational and multitasking skills, looking to support the sales function and contribute to overall business success.

Key Responsibilities:



Sales Support:

Provide administrative and operational support to the internal sales team by preparing quotes, processing orders, and maintaining accurate customer records.

Customer Service:

Respond to customer inquiries, providing product information, resolving issues, and directing more complex questions to the appropriate team members.

Order Management:

Manage order intake, ensuring timely processing and smooth coordination between sales, production, and delivery teams. Ensure orders are accurately entered into the system and track their progress.

Data Entry & Reporting:

Maintain and update customer databases, input sales data, and prepare reports on sales activity, order statuses, and inventory levels.

Internal Communication:

Act as a liaison between the internal sales team, logistics, and other departments to ensure the timely delivery of materials and proper fulfilment of customer orders.

Documentation & Filing:

Ensure that all customer documents (quotes, orders, contracts, etc.) are properly filed and easily accessible for reference by the sales team and management.

Sales Support Tools:

Maintain and manage sales support tools, including CRM systems, sales tracking software, and other resources to support the internal sales team.

Team Collaboration:

Assist in developing sales presentations, marketing materials, and other resources to support the internal sales team's efforts.

Process Improvement:

Identify opportunities to improve internal processes, increase efficiency, and enhance customer satisfaction.

Key Qualifications & Skills:



Experience:

Minimum of 2-3 years of experience in a business support or administrative role, preferably in sales or customer service.

Organisational Skills:

Strong attention to detail, with excellent organizational and time-management skills. Ability to prioritize tasks and manage multiple responsibilities effectively.

Communication Skills:

Excellent verbal and written communication skills. Ability to interact professionally with internal teams and customers.

Problem-Solving Abilities:

Ability to handle customer inquiries, resolve issues, and proactively find solutions.

Technical Proficiency:

Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and experience with CRM software (e.g., Salesforce or similar). Familiarity with order management and sales tracking systems is a plus.

Team-Oriented:

Collaborative mindset with the ability to work well with cross-functional teams.

Education:

A bachelor's degree in business, administration, or a related field is preferred, but not required.

Industry Knowledge:

Familiarity with the construction or building materials industry is a plus, but not essential.

Adaptability:

Ability to quickly adapt to new processes, tools, and technologies.
