Role Overview
The Business Support / Business Administrator will play a key role in the smooth running of the island's administrative, financial, and commercial operations. This includes handling correspondence, managing records, supporting retail and visitor activities, liaising with suppliers, and assisting with logistics and scheduling.
Key Responsibilities
Provide administrative and clerical support to the Trustees, Island Manager and leadership team, to include arranging staff meetings, Board meetings and Trustee meetings.
Help coordinate projects and initiatives.
Communicate with Staff, Monastic Community and Islanders.
Prepare agendas, take minutes and distribute meeting notes.
Ensuring compliance and some safeguarding administration.
Arrange staff meetings, Board meetings and Trustee meetings.
Manage correspondence, filing systems, and digital records.
Assist in financial administration: processing invoices, maintaining accounts records, and supporting budget tracking.
Coordinate logistics and scheduling for island operations, including deliveries, visitor bookings, and seasonal activities.
Support retail and hospitality operations through, reporting, and communication.
Liaise with suppliers, contractors, and local partners.
Prepare reports, letters, and communications as required.
Ensure compliance with relevant health, safety, and environmental policies.
Coordinate volunteer compliance.
Essential Skills & Experience
Proven experience in administration, business support, or office management.
Strong organisational and time management skills.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office (Word, Excel, Outlook, SharePoint).
Ability to work independently and as part of a small team.
High level of discretion, reliability, and integrity.
Willingness to adapt to on and off island working patterns.
Desirable Skills
Experience in visitor services.
Familiarity with accounting software (e.g., Xero, Active HR).
Understanding of heritage or community-based operations.
Working Conditions
Full-time, 37.5 hours per week (some flexibility required during visitor season).
Based both on Caldey Island when access allows and working from home at other times; overnight accommodation arrangements can be discussed.
Boat transport available between Tenby and Caldey.
