Job Description

This is an exciting opportunity to join our vibrant, caring and innovative Islington Children and Adolescent Mental Health Service (CAMHS).
The post holder will provide high quality administrative and secretarial support to CAMHS Therapies Team (CTT). Part of this role will involve the management and monitoring of team waiting lists and caseload lists, monthly allocations through close liaison with the pathway coordinator and team managers as necessary.
Main duties of the job
The main duties include:

  • Attend relevant CTT team meetings and Administration meetings as required
  • Update waiting list/ allocation spreadsheet
  • Rio and POD Administration
  • Booking appointments and sending out appointment letter
  • Sending out correspondence to families and professionals
  • Support CAMHS reception cover
  • To be the main point of contact for incoming calls from families or professionals
To undertake any other general clerical duties as required by the Team

Job responsibilities
1. To provide full administrative support to the CTT team including typing of assessment reports, appointment letters, waiting list letters and other documents as required by the team
2. To attend the relevant Team meetings as required to take minutes and provide administrative support.
3. Through close liaison with the three managers of the CTT Team and the pathway coordinator, to manage the CTT waiting lists spreadsheet, allocations and RiO transfer to the relevant clinician, booking patients into appointments and sending out appointment letters.
4. Monitoring of the CTT referrals Email inbox ensuring new referrals are recorded to the CTT waiting list spreadsheets, uploaded on to RiO and liaise with the relevant Teams to complete registration of the referral on RiO.
5. To ensure that an accurate and up-to-date patient record is maintained by updating RiO. Training will be provided
6. To open and close referrals on RiO, transferring cases and ensuring referrals are uploaded on RiO
7. Ensuring new allocated cases are added to POD (Patient Outcome Device) and the link is sent to the families to complete and submit the outcome measures online. POD training will be provided
8. To undertake any other general clerical duties as required by the Team
9. To liaise on behalf of the teams with other departments within the Trust (Human Resources, IT, Estates, Supplies etc) as appropriate, and where necessary deliver or pick up materials from other sites
10. To be the main point of contact for incoming calls from families or professionals and dealing with enquiries related to the CTT Team in an informed and professional manner
11. To provide cover to the SEMH team as required
12. To assist with cover in the building's main reception and CAMHS reception as necessary.
To carry out any other duties commensurate with the grade as directed by the line manager

  • Typing skills - 50 to 60 wpm
