Job Description

We are looking for a Car Fleet Sales Administrator to join our thriving team that will play a key role in supporting the sales team with the smooth processing of fleet vehicle orders.

This role involves handling customer and dealer documentation, coordinating vehicle delivery schedules, and maintaining accurate sales records. The ideal candidate is highly organized, customer-focused, and thrives in a fast-paced automotive sales environment.

Key Responsibilities:



Sales Administration Process all fleet vehicle orders accurately and efficiently using internal systems. Prepare and issue quotations, order forms, invoices, and vehicle registration documents. Manage the end-to-end administration of fleet sales from order to delivery. Customer & Dealer Support Act as the main point of contact for fleet customers regarding order updates, documentation, and delivery timelines. Liaise with leasing companies, and logistics providers to ensure timely and accurate vehicle deliveries. Support the sales team with pre- and post-sale queries and administrative tasks. Documentation & Compliance Ensure all contracts, purchase orders, and vehicle handover paperwork are complete and compliant. Maintain up-to-date and accurate records of customer data, vehicle specs, delivery schedules, and stock availability. Assist in maintaining GDPR and financial compliance in all record-keeping. Vehicle Stock & Logistics Coordination. Track vehicle stock availability and coordinate vehicle registration, preparation, and logistics. Monitor delivery status and ensure vehicles are delivered to customers on time. Update sales pipeline and stock tracking systems regularly. Reporting & System Updates Update CRM and fleet management systems with current order status and customer information. Generate sales reports, forecasts, and administrative summaries for management as required

Required Skills & Experience:



Excellent attention to detail and time management skills. Previous experience in automotive sales administration, ideally in a fleet or leasing environment. Strong communication skills with a professional and customer-centric approach. Proficient in Microsoft Office, especially Excel and Outlook. Experience with DMS, CRM, or fleet order management systems (e.g., Kerridge, Salesforce, etc.) is a plus. Ability to multitask and meet deadlines in a high-volume sales environment. Qualifications Full UK driving license (optional but preferred depending on the role).

Working Conditions:



Standard office hours with occasional flexibility required during peak periods or for delivery coordination. Office-based role, with occasional interaction with showroom or vehicle prep departments.
Job Types: Part-time, Permanent

Pay: 15,238.08-18,720.00 per year

Expected hours: 24 per week
