Job Description

Harbury Surgery is looking for 2 experienced Receptionist/Care Navigator to join our small, friendly team. These roles are for 26hrs per week & 18 hrs per week, working set shifts.

The shifts for the 26hr position will be as follows:

Monday 10am-12.30pm & 1.30pm-6.30pm

Tuesday 1.30pm-5.30pm

Wednesday 8am -12.30pm & 1.30pm-6.30pm

Friday 1.30pm-6.30pm

The shifts for the 18hr position will be as follows:

Tuesday 9.00am - 12.30pm & 1.30pm-6.30pm

Thursday 8.00am-12.30pm & 1.30pm-6.30pm

The surgery is closed between the hours of 12.30pm & 1.30pm for lunch

Successful candidate must be able to work between the hours of 8am and 6.30pm.

Your role will involve helping patients access the most appropriate service or healthcare professional in a courteous, efficient and effective way.

You will provide general assistance to the Practice Team and project a positive and friendly image towards patients and other visitors, either in person or via the telephone.

You will need to feel comfortable with technology and change/updates since the NHS is required to constantly meet the emerging needs of our population.

Main duties of the job



- Work in accordance with written protocols.

- Scan documentation into patients' medical records.

- Process appointment requests for current and future appointments from patients by telephone and in person.

- Deal with home visits requests and action in a timely manner.

- Registration of new patients, computer data entry into medical records.

- Manage and monitor the reception email account

- Filing and coding of medical correspondence

- Process changes in patients' details.

- To provide a high standard of customer service on behalf of the Practice.

- To adopt an empathic approach to communication in all circumstances.

Person Specification



- Familiarity with using Outlook

- Excellent phone etiquette and communication skills

- Strong administrative skills including typing, data entry, and organisational abilities

- Comfortable working with various office technologies and computerized systems

- Willingness to work flexibly.

- Work efficiently in a team or individually.

- Positive attitude towards change

- An empathic, friendly disposition.

Experience preferred but not essential



- Experience of working in Primary Care/General Practice.

- Experience of working with the public in a customer service role.

- Experience of working with EMIS clinical system, Microsoft Office, Word & Excel

Harbury Surgery is a proactive, progressive and well established practice spread across 2 sites. Our team of 5 GPs, Practice Nurse, HCA and a wider clinical team that includes Clinical Pharmacists, Social Prescribers and Health and Well Being Practitioners serve almost 6,000 patients. We are also a training practice with a regular team of registrars, medical students and nursing students year round. We all work together to provide a high standard of care to our patients

Our non-clinical team is comprised of the Practice manager, Assistant practice manager, Dispensary manager, Senior Care Navigators , care navigator team/admin team, secretary team and dispensary team.

Interviews will be held week commencing 26th May.
