Role Summary:



As an Expert Witness Case Coordinator, you will play a critical role in the efficient and effective management of medico-legal cases. This role is responsible for overseeing the delivery of high-quality case management services supporting our esteemed experts and ensuring timely and accurate delivery of services to our clients. You will be responsible for managing a caseload from initial instruction through to completion, ensuring adherence to deadlines and maintaining the highest standards of data security. You will act as a key liaison between experts, clients (solicitors/insured parties), and internal teams, ensuring seamless communication and a positive experience for all stakeholders.

Role Overview:



Caseload management: Managing a caseload of pre-action and litigious medico-legal matters on behalf of our medical experts and our clients. File preparation: Prepare case files for expert review, ensuring all relevant documentation is readily available and organised. Expert Diary oversight: Proactively manager and monitor the diaries of multiple medical experts, coordinating appointments, and scheduling reports. Deadline adherence: Strictly adhere to all court deadlines, hearing dates, and report and correspondence submission dates. Professional correspondence: Provide professional and responsive communication with clients via email and telephone, addressing queries and providing updates on case progress. Query resolution: Handle client inquiries effectively and escalate complex issues to the appropriate team member. Digital filing: Upload new case instructions, medical records, and other documentation onto our bespoke file sharing platform (ALLDOQ). Data protection adherence: Strictly adhere to all data protection regulations and laws, ensuring the confidentiality and security of sensitive client and medical information. Provide ad-hoc administrative support to the team as required.

Person Specification:



Proven experience in a case management or administrative role, ideally within a legal or medical environment. A basic understanding of medical terminology would be advantageous. Excellent organisational and time-management skills, with the ability to prioritise tasks and manage multiple deadlines effectively. Strong attention to detail and a commitment to accuracy. Excellent communication and interpersonal skills, both written and verbal, with a professional and courteous manner. Experience of speaking to clients over the phone and corresponding by email. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) and experience with case management systems and document management platforms (training will be given as necessary for all company bespoke systems). Problem-solving ability to identify and resolve issues proactively. Ability to handle sensitive information with discretion and maintain strict confidentiality. Understanding of data protection principles (GDPR). Being able to work to sometimes tight deadlines. Ability to work independently and as part of a team. A proactive, motivated, and reliable individual with a positive attitude and a strong work ethic.
