Job Description

Tonyrefail & District Community Council is seeking to appoint a part-time

Cemetery Administrator

on a permanent basis. The anticipated start date will be Monday, 5 January 2026 or earlier.

We're looking for a compassionate, organised and community-minded individual to join our small, friendly team. Based in the peaceful surroundings of Trane Cemetery, you'll play a key role in providing a sensitive and professional service to bereaved families, funeral directors and colleagues. Applicants must be able to demonstrate that they have experience of administration, a sound and demonstrable knowledge of MS Office, an ability to understand burial law and procedure and a willingness to pursue ongoing training opportunities.

You will be reporting to the Clerk.

JOB DESCRIPTION



Purpose of the Role



To provide high-quality administrative support for the management and operation of Trane Cemetery, ensuring statutory compliance and excellent service to bereaved families, funeral directors and memorial masons.

Main Responsibilities and Key Tasks



1. To manage burial and memorial administration carrying out bookings, recording and processing of statutory documentation, as well as maintaining grave registers and cemetery plans.

2. To undertake preliminary checks and obtain and record all necessary information and legal documentation required in advance of the funeral.

3. To ensure all legal preliminaries are fulfilled including checking the Green Form 9 Certificate for Disposal, Coroner's Order for Burial or MoJ exhumation licence, as appropriate.

4. To deal with funeral directors, memorial masons and members of the public in relation to all aspects of cemetery administration, including exclusive rights of burial and deed transfers.

5. To assist the public in the selection and identification of graves, by delivering accurate and relevant information.

6. In communication with the Burials Team, identify burial plots in preparation for interments.

7. To process financial transactions such as invoicing and receipts for bereavement services including burials and memorialisation, in accordance with the Council's Financial Regulations.

8. To use and maintain computer-based record systems and manual records as required.

9. To ensure statutory registers are kept in accordance with Local Authorities' Cemeteries Order 1977 and other relevant legislation.

10. To co-ordinate the memorial inspection programme to ensure memorial inspections are carried out timeously, and in line with the Council's Memorial Policy.

11. Together with the Cemetery Supervisor, monitor the condition of the cemetery and assist in obtaining quotes for additional work where necessary.

12. To oversee the Memorial Bench policy, processing applications and sourcing benches and plaques.

13. To deal with queries from members of the public in person, by phone or by email and escalate these where necessary.

14. To place Cemetery-related Council adverts and notices in relevant local media, Council's website, social media and/or on Council noticeboards.

15. To assist the Clerk in maintaining relevant sections of the Council's policies, procedures and regulations.

General



1. To undertake any relevant training as required to maintain a thorough knowledge of burial law and cemetery administration.

2. To assist as a member of the Council's Senior Management team that could involve taking responsibility for specific schemes, projects and events as requested by the Clerk.

3. To ensure the Council's Equal Opportunities policies are followed.

4. To ensure personal compliance with the Data Protection Act and GDPR, and maintain confidentiality of sensitive information.

5. To assist in maintaining good internal and external relations and promote the Council's reputation.

6. To work in a sustainable and ethical way and to spend public funds wisely.

7. To undertake such other responsibilities and functions as may be required from time to time, commensurate with the duties and responsibilities of the post.

Job Types: Part-time, Permanent

Pay: 28,598.00-31,022.00 per year
