We're looking for a
reliable, detail-oriented Clerical and Supply Chain Administrator
to support our finance and operations teams. You'll manage financial reconciliations, maintain organized records, and handle procurement of materials required for our product assembly and packaging. Your work will be essential to ensuring our backend processes run smoothly and efficiently contributing to the seamless delivery of our wellness mission.
Key Responsibilities
Clerical & Financial Administration
Perform weekly financial reconciliations across WooCommerce and QuickBooks.
Log, categorize, and reconcile receipts, invoices, refunds, and expense claims.
Collaborate with the Logistics & Operations Coordinator to ensure supplier receipts are reconciled monthly.
Maintain accurate digital records of shipping and supplier documents.
Ensure all documentation is correctly uploaded, labelled, and stored.
Track VAT, supplier invoices, and digital sales.
Support the monthly close process, ensuring all payments are accounted for and reconciled.
Flag discrepancies in income, expenses, or platform syncs.
Monitor and troubleshoot integration issues between WooCommerce and QuickBooks.
Procurement & Supply Chain Support
Source and procure components and materials for product packaging and assembly.
Track inventory and reorder consumables and packaging materials as needed.
Maintain vendor relationships, ensuring cost-effectiveness and timely delivery.
Assist with inventory tracking, inbound/outbound stock movements.
What We're Looking For
Minimum 2 years in a clerical, finance, or supply chain administration role.
Strong proficiency in
QuickBooks
Online
and
WooCommerce
.
Experience in procurement and vendor management.
Understanding of expense categorization and basic accounting workflows.
High accuracy, strong attention to detail, and self-management.
Confident communicator--able to summarize account issues and liaise with suppliers.

Bonus Skills (Preferred but not essential)
Familiarity with payment integrations like
Stripe

PayPal
, etc.
Experience working with e-commerce, wellness, or coaching businesses.
