Client Liaison And Project Co Ordinator

Job Description

ProBuild360 is seeking a dedicated Client Liaison and project coordinator who will serve as the main point of contact for our clients throughout their projects.

This person will be responsible for guiding clients from start to finish, keeping them informed, confident and engaged, while ensuring that any changes to scope, cost or programme are communicated clearly and professionally.

The goal of this role is simple: To prevent dissatisfaction through excellent communication, department coordination and to handle any issues that do arise in a way that leaves us with happy clients and strong feedback at the end of every project.

Key Responsibilities:



Client Communication



Act as the primary point of contact for clients throughout the project. Onboard clients at project start. Provide regular, structured updates on progress. Respond promptly and professionally to client questions, concerns and requests. Department Coordination Work closely with the Design and Operations teams to ensure client decisions on products, finishes and layouts are made on time. Coordinate product selections, lead times and deliveries to support smooth project delivery. Ensure any financial implications of design and scope changes are communicated to the Accounts team so accounting information remains accurate.

Change & Variation Management



Work with the Operations team to identify changes arising on site. Clearly explain scope changes and cost implications to clients. Obtain approvals and ensure all variations are properly documented.

Sales & Value Communication



Present variations and upgrades in a way that aligns with the client's vision. Explain the value of changes clearly and confidently to encourage positive decisions. Balance commercial awareness with customer care.

Complaint Prevention & Resolution



Proactively prevent complaints through clear, consistent communication. When issues arise, manage them calmly and constructively to protect the client relationship and the business.

Client Relationship Management



Build strong, trusted relationships with clients so they feel supported and well looked after. Guide the client journey in a way that leads to positive feedback at project completion.

Project Reporting & Records



Maintain accurate records of all client communications, agreements and approvals. Provide disciplined weekly reporting to Directors, ensuring full visibility of project and client status.

Who We're Looking For:



We need someone who has a solid understanding of construction processes and terminology, so they can confidently translate site realities into client-friendly conversations. They should have excellent communication skills, be commercially aware, and have a natural ability to build rapport. You will be Calm, professional and organised and able to handle pressure and manage expectations.

You should be comfortable with keeping clients at ease and handle any bumps in the road with grace and professionalism.

Experience & Skills



Previous experience in a client-facing role within the construction/ property industry is essential Strong interpersonal and communication skills Ability to explain technical issues clearly to non-technical clients A proactive problem-solver who can prevent issues before they escalate Confident managing change orders and scope adjustments Comfortable using CRM systems, Excel and Word A strong administrator A high standard of written English and grammar
