Job Summary:

IC Publications is seeking a dynamic, experienced

Client Proposal and Project Coordinator

to join our award-winning pan-African media and communications group. This position will play a crucial role in serving as the single process advocate, ensuring every project adheres to IC Publications' Project Methodologies, moves seamlessly through mandatory quality assurance stages, and translates strategic proposals into demonstrable client outcomes through measurable Key Performance Indicators (KPIs) and Benchmark Data.

Responsibilities:



Process Ownership:

Mandate and enforce the use of IC Publications' established Project Methodologies across all relevant internal teams.

End-to-End Oversight:

Act as the central project lead for all major contracts, from initiating the internal kick-off meeting through final impact reporting and client closure.

Project Management System:

Serve as the primary manager for new projects within the Project Management Software. Manage all task assignments, deadlines, and dependencies to eliminate bottlenecks.

Risk Tracking and Mitigation:

Proactively monitor the overall project health and risk profile of the client portfolio, immediately escalating critical risks to the Head of Strategic Partnerships for intervention.

Proposal Drafting Advisory:

The Client Impact & Delivery Executive will advise the Partnerships team to ensure that commercial proposals maximise the objectives set out by clients. This will include attending client meetings to understand priorities in advance.

Quality Checkpoints:

Own and manage all mandatory critical approval checkpoints (e.g., post-client content sign-off), ensuring no project can advance without the necessary approvals recorded in the Project Management Software.

KPI Definition Mandate:

For all contracts, and specifically where success metrics are not explicit, the Client Impact & Delivery Executive will work with the Sales and Client teams to finalise 2-3 measurable, market-aligned Key Performance Indicators (e.g., policy mentions, investor leads, event registrations) at the project initiation stage.

Quality Assurance:

Safeguard the intellectual and editorial integrity of all client deliverables, upholding IC Publications' reputation for trusted analysis.

Proactive Client Communication

: Be the consistent, proactive point of contact for client updates, providing scheduled status reports to eliminate reactive anxiety.

Performance Analysis:

Utilise proprietary benchmark data and internal audience insights to ensure all reported metrics are contextualised against industry standards and guaranteed tiers.

Final Impact Report Production:

Coordinate the timely production of the Final Impact Report within 14 days of all deliverables being executed, translating raw data into a compelling narrative of strategic impact and ROI.

Client Review & Renewal Support:

Coordinate the final client review meeting, assess satisfaction, and hand off findings to the Head of Strategic Partnerships to inform renewal and up-sell opportunities.

Skills, aptitudes, attitudes and abilities:



Exceptional stakeholder management and leadership by influence, with the proven ability to drive action across non-reporting internal teams to enforce process and meet delivery deadlines.

Proven proficiency in using and enforcing dedicated Project Management Software for multi-functional workflows.

Proven ability to interpret campaign data/analytics and translate metrics into clear, executive-level narrative reports utilising benchmark data.

Experience working with clients in the African market, specifically in finance, government, policy, or major development sectors.

Proficient in Microsoft Office and Google. Some physical demands are necessary, such as walking, sitting or standing and lifting.

Travel required as agreed upon with the supervisors.

Self-started with excellent analytical and problem-solving abilities, with a strategic mindset and the capacity to identify new business opportunities.

Be able to work independently and also as part of a team and meet tight deadlines

Foster a collaborative and high-performance work environment, mentoring a team members.

Passion for Africa and a genuine interest in contributing to its development through the power of media and communications.

Qualifications and Experience:



A relevant degree in Business, Communications, International Relations, or a related field.

Demonstrable track record of managing complex, multi-faceted projects that combine content, media, and events.

3+ years of experience in project management, client services, or operations leadership within a media, communications, or strategic consulting firm.

Fluent English speaker with outstanding written and verbal communication skills. Fluency in French and/or Portuguese would also be desired.

Familiarity with the media landscape, publications, and strategic communications practices.

Qualifications and/or experience may be substituted for certain minimum qualifications
