We have a unique opportunity for a remote Counselling Practice Client Relations and Administrator.
You will be an integral part of the Leone Centre practice, a highly valued service provider that has developed a great reputation over many years for quality and excellence in therapy and consultancy.
Bringing together soulful and holistic approaches and organisational consultancy perspectives, Leone Centre offers a variety of highly regarded services ranging from Individual Counselling & Psychotherapy to Couple Counselling, Family Counselling and Corporate Services.
The Role
As a practice client relations and administrator, you are the first point of contact for client inquiries and will be responsible for a variety of administrative duties that contribute towards the smooth running of the Leone Centre.
Due to the nature of the role and our growing business, it is essential that the administrator is versatile and able to undertake a range of different tasks at any one time with an entrepreneurial spirit.
Reporting to the Practice Manager, you will be required to keep in good communication and provide regular updates with important information/events.
Applicants must be UK-based for insurance purposes.

Hours:
around 15 hours/week on average. (Hours to be agreed, within the range of Monday to Friday 9am to 6pm and 3 hours on a Saturday every 3 weeks.)

Responsibilities:
Organising responses to client enquiries and managing all the referral processes
Booking appointments, cancelling and making changes using the practice's online appointment booking system.
Recording new enquiries on the client database, following up as required, and forwarding relevant forms and confirmation emails to Leone Centre therapists
Managing all general administration tasks.
Administrating the recruitment of new associate members of the team from initial advertising through to interview
Induct and set up new starters on our database, requesting references, documentation and keep associates' documents up to date
Be part of the training process for team members on our policies, procedures and booking systems
Communicate with the team on any updates, training, events and meetings
Actively identify and escalate areas for improvement in the running of the Leone Centre as we grow and evolve
Contribute to the review and improvement of all processes to ensure outstanding efficiency at all times
Collaborate with the Leone Centre team to ensure preparedness for all tasks at hand in any absence

Reliable internet connection
A mobile phone which can be solely dedicated to this role (paid SIM provided by us)
Experience in online appointment booking systems
Knowledge of cloud-based storage systems
Have a good understanding and commitment to confidentiality
Sound knowledge of the General Data Protection Regulation (UK GDPR)
Desirable:
Experience in using health record management systems
At least 3-5 years PA experience
Experience of working in a private practice or NHS setting
Blog and content writing skills
Experience of using WordPress
Experience in marketing, using various media, project planning, etc.
Knowledge of posting to different social media platforms
SEO knowledge and skills.
Web design: creation, updating and improving, including coding.
