UKG is an award-winning, AEGIS Gold accredited and BSA certified guardianship company. We are a team of friendly and dedicated professionals committed to delivering high-quality support, with a strong focus on safeguarding and wellbeing. The majority of our students are under 18.

We are currently looking for a

Client Relations Assistant

to support the team in building and maintaining strong connections with students, parents, education agents, and partner schools. This varied role blends operational guardianship support with a strong focus on client care--ensuring clear communication, efficient service delivery, and exceptional satisfaction across all stakeholders.

You'll also play a key part in the day-to-day running of our guardianship services, providing administrative and operational support, assisting with data management, communications, and event coordination. Your work will directly contribute to a positive experience for our clients and help strengthen the reputation of our organisation.

Flexibility is essential, as the role will require ad-hoc or emergency student welfare visits. You'll be committed to upholding the highest standards of care, professionalism, and safeguarding at all times.

We currently operate a hybrid-working model (minimum one day in the office a week).

Key Responsibilities



Client and Partner Communication

Liaise daily with international students, parents, agents, and school staff to facilitate clear communication and effective support. Assist in maintaining positive relationships with key partners through professional, responsive correspondence and proactive engagement. Support in preparing for client and agent meetings, online webinars, and events.
Student and Family Support

Assist with student welfare matters and day-to-day needs such as travel, homestay arrangements, or practical support (e.g. mobile plans, bank accounts). Coordinate off-term and short-stay arrangements, liaising with the Guardianship Operations Assistant to arrange homestays, transport providers, and schools to ensure smooth logistics. Respond promptly to emergencies or ad-hoc requests in line with safeguarding and AEGIS standards. Attend ad-hoc and emergency student welfare visits when required, providing hands-on support and ensuring student wellbeing.
Client Relations and Marketing Support

Support family engagement and satisfaction by helping implement communication plans, surveys, and client feedback initiatives. Assist in creating digital content for social media and newsletters that promote UKG's services and strengthen brand engagement. Maintain and update CRM records to ensure client data, communication logs, and partnership notes are accurate and up to date.
Operational and Administrative Duties

Maintain accurate records of student and family communications in line with safeguarding and data protection regulations. Support the preparation of reports, presentations, and documentation for management review. Provide administrative support for marketing campaigns and partnership events. Take turns manning the company emergency phone for out-of-hours contact. Regular travel to visit schools, families, or attend events as required.

Essential Skills and Qualifications



Experience in client service, guardianship, or educational administration. Excellent written and verbal communication skills, with professional phone and email etiquette. Strong organisational skills and attention to detail, capable of managing multiple priorities effectively. Proactive, reliable, and client-focused, with a friendly and professional manner. Confident using Microsoft Office and CRM systems for administrative and reporting purposes. Ability to remain calm and effective in emergency or sensitive situations. Fluent in English; additional language skills desirable (Mandarin preferred). Flexibility to travel for ad-hoc student welfare visits, emergency visits, and meetings across the UK as required. Full UK driving licence and access to a car are essential, as the role requires regular travel for student welfare visits and meetings. Agent Counsellor British Council training complete (or willingness to complete immediately upon start of employment) Comfortable working independently and as part of a small team.
