Client Services Assistant!

The Client is a multinational 'Magic Circle' law firm headquartered in London, and you will play a crucial role in providing the highest level of service and care to the client, its customers, guests, and service partners in line with service level agreements and set policies and procedures.



We have a great opportunity for an experienced Client Services Assistant to join the Rapport family, based at our client's headquarter building in London's Canary Wharf. You will join a diverse team of 17 Rapport Ambassadors with a proven track record of achieving the highest levels of client service, giving you an amazing opportunity to learn and develop.


This role is a dynamic, front-facing position combining reception, administrative support, switchboard operations, and event assistance. It plays a key role in delivering a professional first impression, supporting daily operations, managing communications, and contributing to the smooth running of internal and client-facing events.

Type of Contract: Full-time, Permanent

Hours: 40 per week (Monday-Friday; shift rota basis between 7:30 AM - 8 PM)

Salary: 39,565 per annum

Main responsibilities



Deliver a seamless guest experience, welcoming all visitors and employees, including clients attending events. Take ownership of reception areas and manage the guest journey across all client spaces. Greet and assist guests on client floors, support cloakroom needs, and escort visitors to meeting rooms. Conduct room checks to ensure consistently high standards of cleanliness and presentation. Work closely with service partners, contractors, and the wider Facilities and Business Operations teams to ensure smooth operations. Manage meeting room bookings for the London office via the Condeco platform. Support on-site events planning and delivery, as well as the floor host function, as required. Handle incoming calls via the client switchboard and assist with training new team members. Adhere to all site procedures, standards, and protocols.

The ideal candidate will

Ideally have experience delivering five-star customer service (e.g. corporate reception, luxury hospitality, or premium airlines). Have experience coordinating large-scale events, including managing requests, liaising with hosts, and handling ad hoc requirements. Be confident using Condeco or similar visitor and booking management systems. Demonstrate strong phone etiquette and excellent written and verbal communication skills. Present themselves professionally with strong interpersonal skills and the ability to build rapport with internal and external stakeholders. Be a customer-focused team player who is friendly, reliable, flexible, and takes pride in their work. Be energetic, proactive, detail-oriented, and eager to learn and grow.
