We are seeking a detail-oriented and organised Coding Specialist and secretary to join our team. This role involves managing medical coding processes, ensuring accurate documentation, and supporting administrative functions within healthcare settings. The ideal candidate will possess strong communication skills, proficiency in Microsoft Office applications, and a solid understanding of medical terminology. Responsibilities
A. GP Workflow and Read coding
Receive, review, and process all incoming clinical correspondence (letters, test results, hospital reports, discharge summaries, etc.) through Docman 10.
Use clinical judgment, practice protocols, and training to accurately readcode and assign documents to the correct clinician or workflow group.
Ensure all relevant data is entered into patient records with appropriate SNOMED/Read codes.
Highlight and escalate clinical information requiring GP review or urgent action.
Manage electronic and paper documents, ensuring accurate filing, scanning, and indexing within the clinical system (EMIS).
Maintain data quality and contribute to QOF, Enhanced Services, and population health management through accurate coding.
B. Medical Secretarial Support
Provide full secretarial support to GPs and other clinicians, including typing referral letters and medical documents from dictation or templates.
Prepare and process referrals through e-RS and email, ensuring completeness and accuracy.
Liaise with hospitals, community services, and other healthcare providers regarding patient appointments, results, and clinical correspondence.
Support patients with queries relating to referrals, insurance reports, or medical correspondence.
Handle requests for medical records, insurance forms, and reports in line with GDPR and practice policy.
C. Administrative and Team Support
Participate in team meetings and contribute to service improvement discussions.
Maintain confidentiality and information governance at all times.
Support audit processes and ensure compliance with clinical governance and data quality standards.
Skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Strong understanding of medical terminology and coding standards
Previous administrative experience is desirable
Excellent communication skills, both written and verbal
Organisational skills with the ability to manage multiple tasks efficiently
Good IT literacy and familiarity with healthcare management systems
Fluency in English is essential
Effective time management skills to meet deadlines consistently
Customer service orientation with a professional attitude
