Post Title: Clinical Governance Administrator

Reports to: Chief Nurse

Location: Medicare Insourcing, Unit 17.1 The Leather Market, Weston Street, London. SE1 3ER

Working Pattern: Full-time, based in the London office four days per week with one day working from home (Wednesday).

Job Purpose

The Clinical Governance Administrator will provide comprehensive administrative and governance support to the Chief Nurse and Clinical Governance Lead, ensuring the effective operation of all clinical governance systems and processes across Medicare Insourcing Services. The post holder will play a central role in monitoring incidents, audits, complaints, and clinical governance reporting to ensure robust governance oversight and regulatory compliance.

This is the only full time role within the Clinical Governance Team, providing critical continuity and acting as the key coordination point for clinical governance across all services and contracts.

Key Duties and Responsibilities

Clinical Governance Systems & Case Management

Monitor the Clinical Governance inbox daily, triaging content, and taking initial actions such as requesting information, statements, or clarifications in relation to incidents and complaints.

Escalate cases to the Chief Nurse, Clinical Governance Lead, or Clinical Leads as appropriate, and support them in determining next steps.

Ensure all complaints are logged, tracked, and responded to within required timeframes.

Committees, Meetings & Reporting

Administer the quarterly Clinical Governance Committee, including preparing agendas, papers, and data packs.

Support the Chief Nurse in preparing Board-level reports by collating, analysing, and presenting relevant clinical governance data.

Coordinate input and ensure representation from the Clinical Governance Team at all monthly client/service review meetings, preparing data packs and reports in advance.

Coordinate and minute meetings as required, including with Clinical Leads.

Attend the daily 8.45am staff meeting.

Audits & Quality Assurance

Live Audits:

o Schedule and administer live audits for every clinician working under a Medicare contract in line with KPIs (between their 3rd and 10th session).

o Maintain an up-to-date tracker of compliance and escalate any risks of non-compliance to the Chief Nurse.

o Collate audit reports, sending individual results to clinicians and summaries to NHS Trusts, with detailed reports prepared for each monthly service review.

Retrospective Audits:

o Coordinate retrospective audits one month after new contract go-live, and on a quarterly basis thereafter.

o Collate findings into reports, issue to clinicians, and prepare summaries for clients and NHS Trusts.

o Coordinate peer-to-peer retrospective audits, allocating caseloads, collating findings, and tracking compliance.

Produce high-quality reports and data packs to support governance oversight.

Patient Experience

Collate and monitor response rates to patient satisfaction surveys.

Analyse survey results and produce reports both at contract-specific and overall organisational levels.

Business Development & Service Start-Up

Support the Chief Nurse in ensuring that no new service goes live without appropriate clinical governance oversight and sign-off.

Administer and track the new service sign-off process, ensuring robust compliance with governance standards.

Administrative & Coordination Support

Provide diary management support for the Chief Nurse and Clinical Governance Lead, with particular focus on scheduling audits, interviews, and key governance activities.

Act as the central coordinator and control point for all organisational policies and procedures.

Assist with Care Quality Commission (CQC) compliance, including supporting data requests for the Chief Nurse in her role as Registered Manager.

Person Specification

Essential

Previous experience in a governance, quality, or healthcare administration role.

Strong organisational and diary management skills.

Ability to analyse and present data accurately.

Excellent written and verbal communication skills.

High attention to detail with the ability to prioritise and manage competing demands.

Proficient IT skills (MS Office, Excel, Outlook).

Professionalism and ability to handle sensitive and confidential information appropriately.

Desirable

Knowledge of NHS structures, clinical governance, and CQC requirements.

Experience of audit coordination and reporting.

Experience working in healthcare or clinical support environments.
