MAIN PURPOSE



To provide a confidential and comprehensive secretarial support to the Service Manager, Consultant Psychologist and Clinical Team. To be competent in audio/copy typing with knowledge of Word and Excel.

MAIN TASKS AND RESPONSIBILITIES



To provide a confidential and comprehensive secretarial support to the Service Manager, Consultant Psychologist and Clinical Team. To be competent in audio/copy typing with knowledge of Word and Excel. Provide a high quality confidential secretarial service for the Consultant and Clinical Team to ensure efficiency in the service user's care. Record and prepare draft minutes of meetings when requested. Deal with telephone and face to face enquiries from all outside services, service users, relatives, and carers, providing information, directing, and prioritising queries as appropriate to ensure efficiency and effectiveness of service delivery. Assist with reception duties as required. Be responsible for incoming referrals and input appropriately onto the correct databases. Be responsible for appointing referrals to appropriate Clinicians and arranging assessment dates within the service and outside organisations. May liaise with Occupational Therapist and Physio prior to admission regarding equipment needs and getting quotes from various outlets. Ensure reviews are planned and organised, including the planning of venue and attendees and that reports are sent out in a timely manner. Make sure new service user files are prepared and all relevant information is available before admission. Provide secretarial support to the Service Manager and Assistant Managers as and when required. Managing time effectively, prioritising work to meet competing demands.

ABOUT YOU:



Familiar with Microsoft Office and skilled in use of IT GCSE and/or A Level qualifications Skilled touch typist with RSA qualifications or equivalent Previous experience of providing comprehensive clerical support. Ability to take confidential notes during meetings. Proven experience of working within a pressurised environment. Ability to prioritise workload effectively in a busy environment and meet specified deadlines. Understanding of legal and regulatory requirements associated with the appropriate handling of care records.
