Job Description

The Institute of Family Therapy (IFT) is a psychotherapy training organisation that has developed a national and international reputation for its work since its establishment in 1977.

We are currently looking to recruit a highly motivated administrator for our MSc equivalent training in Family and Systemic Psychotherapy, the final stage of the four year training programme, and the Qualified Family Clinic. The post holder will ensure a high level of service to our clients.

JOB PURPOSE



To deliver effective administration of the Institute of Family Therapy's therapy service offered by advanced trainees of the course (Clinical Associates of the Institute) and senior clinical staff.

JOB ACTIVITIES



To deliver effective administration of the Institute's clinical service, and to ensure appropriate administrative systems are in place.

To take clinical referrals from the public and other health professionals via telephone and email Schedule and sit in on referral calls with families and the clinical lead and take relevant notes Distribute clinical service information to the public and professionals. Liaise with clients and clinical associates regarding appointments. Respond to emails relating to therapeutic services. Case file management Maintain accurate financial records including invoicing clients and processing of client fees. Maintaining and monitoring all administrative procedures relating to the service. Collate the client therapy waiting list for the trainees and distribute referrals appropriately. Correspondence to clients. Deal with telephone calls that may be distressing in an empathic, boundaried and professional manner. Welcome families when attending sessions,

General



To assist with the general running of the Institute's other departments as appropriate. To carry out all the above within the policies of the Institute of Family Therapy.

Essential



The appointed person will:

have excellent communication skills have strong organisational skills to manage multiple tasks efficiently have attention to detail for accurate data entry and record keeping be able to demonstrate first rate computer skills (Word, Outlook, Excel and Zoom). be able to independently manage and prioritise your own work. have sensitivity, clarity and strict adherence to confidentiality when dealing with clients who may be distressed show calm maturity, flexibility and be sensitive to issues of confidentiality.

Desirable:



Experience of working in an academic and/or therapeutic environment.

ADDITIONAL INFORMATION:



This is a part-time role, for 3 days a week (Monday, Tuesday and Wednesday), flexibility may be required at times Working hours are 12:30 - 20:30 (Monday & Wednesday) 10:30-20:30 (Tuesday - this will change to 10:30-17:00 from January 2026), flexibility may be required at times The role is office based in London Basic leave entitlement of 22 days in addition to public holidays. Part-time workers will be pro-rata
