Brighton College are seeking to appoint a Co-curricular Administrator (Music) on a part-time, permanent basis.
Main Purpose of the Role:
Reporting to the Performing Arts Technical and Facilities Manager alongside working closely with the Director of Music, the Co-curricular Administrator (Music) will support the music department on the day-to-day operations within a busy department.
General Duties and Responsibilities
Compile and publish a weekly schedule for the Music Department (week ahead).
Attend the weekly College wide 'Week Ahead' meeting.
Co-ordinate ensemble set up with the Performing Arts Music Technician, as directed by ensemble leaders and head of section.
Co-ordinate with the Theatre Operations Manager for set up cover needed during staff absences.
Co-ordinate with the Performing Arts Technical and Facilities Manager for specialised technical assistance needed, providing the request at least five weeks in advance.
Oversee the successful administration of all ensembles and the choral programme including room bookings and communication to both pupils and staff.
Oversight of and make bookings for and manage the day to day running of music venues including bookings for non-music department events.
Under guidance from the Performing Arts Technical and Facilities Manager and the Concerts and Recitals Manager act as the venue manager for the Sarah Abraham Recital Hall.
Provide front of house assistance as requested by Concerts and Recitals Manager.
Co-ordinate all elements needed for events and trip administration including; risk assessments, consent forms, bookings, transport and catering.
Send parental letters for all co-curricular music items.
Assist with the yearly set up/administration of SOCs co-curricular programme.
Complete all administration required for the choral society rehearsals including room bookings, rehearsal schedules, processing fees, catering and acting as the point of contact for the choir members.
Attend regular 1-1 meetings with the Director of Music.
Attend and minute meetings where required by the Director of Music or Head of Academic Music.
Attend departmental meetings hosted by the Performing Arts Technical and Facilities Manager.
Assistance with Duke of Edinburgh trips and enrolment administration.
Any reasonable management request.
Person Specifications
The successful candidate will have experience in the following areas:
Excellent communication skills, both verbally and in writing.
Excellent IT skills, including proficiency in the use of Microsoft Excel, Word and Outlook is essential.
The candidate would be given ongoing training on the use of the Brighton College parent portal (the College's online system that allows parents to pay and book onto trips) amongst other tools such as SOCs (where the co-curriculum is managed) and iSAMs (the College's management information system). An ability and desire to learn the functionality of these pieces of software is essential.
Demonstrable administrative experience with strong attention to detail.
Exceptional organisation skills, with the ability to effectively manage your own workload and work in a fast-paced environment.
A friendly and personable manner, with the ability to build strong working relationships across the College.
The ability to show initiative and be proactive.
A flexible and 'can-do' attitude.
Experience of working in an education environment and/or front of house would be advantageous.
Hours of Work
The successful candidate will be required to work 22.5 hours per week. The working pattern for this role is Wednesday to Friday, 8.30am to 5.00pm with a 60-minute unpaid lunch break. This role will work term time (35 Weeks) plus an additional four weeks (39 weeks total).
Remuneration
The salary for this role is 13,798 per annum.

Holiday entitlement is included in the salary for the role. All holiday is to be taken outside of the working weeks.
