We are seeking a proactive and detail-oriented individual to provide comprehensive administrative support within the Directorate for External Collaborations. The role focuses on managing and maintaining collaborative relationships with partners in the UK and overseas, ensuring operational efficiency and quality assurance across all activities.
Key responsibilities include administering partner staff approval processes, coordinating collaboration communications, maintaining internal network pages and social media channels, and managing the official repository of documentation and partner registers.
The post holder will work closely with internal and external stakeholders, often under pressure, and must demonstrate flexibility, strong organisational skills, and a commitment to fostering an inclusive university community where everyone can thrive.

Job Purpose:
This post holder is responsible for providing administrative support for the Directorate in relation to the development, maintenance, monitoring, and quality assurance of collaborative relationships in the UK and overseas. The focus of activity relates to the administration of collaboration operational activities, partner staff approval procedures, collaboration communications, maintenance of EC BEN pages, social media and other communications channels, and the maintenance of the formal repository of definitive documentation relating to each relationship and academic programme and the partner register. The post holder will be required to be proactive and flexible in delivering support to internal and external stakeholders and be able to operate under pressure. To practice an inclusive approach and support building an inclusive university community where people can be themselves.
Main Duties & Responsibilities of the role:
To coordinate and deliver on allocated tasks and/or quality assurance processes. Areas from which tasks may be allocated include: Organising Keeping in Touch Events
Monitoring publication of information on internal and external webpages, ensuring that they are kept up-to-date.
Processing and recording Partner staff approvals
Liaison with Colleges and directorates
Advising Partners of deadlines for submission of formal documentation, e.g. Course Delivery Schedules and Partner Programme Calendars and ensuring these are adhered to.
Maintenance of definitive trackers and extraction of data for all stakeholders
Maintenance of formal repository of collaborative relationships documentation e.g. Agreements
Committee servicing e.g. Team Meetings, Operations and Quality Boards
To support collaboration-related administrative processes, and be involved in planning for such activities.
To maintain the accuracy and integrity of data held on University systems including regular checking of data in liaison with Student Records and Data teams.
To provide a professional and consistent service to internal and external stakeholders
To assist with collaboration review events as required.
Organising travel arrangements and itineraries for all EC staff.
Comply with relevant legislative and other requirements (e.g., the Data Protection Act 2018 and GDPR; Health and Safety; UKVI; and Equality and Diversity) in all working practices.
Such other duties temporarily or on a continuing basis, as may reasonably be required.
