The Commercial Administrator provides essential administrative and operational support to the Commercial Manager and the wider Commercial Team. The role ensures smooth running of commercial processes, accurate management of data, and effective communication both internally and externally. The role is also responsible for supporting compliance within the department, maintaining the CRM system, and contributing to efficient office operations within a fast-paced environment.
Key Responsibilities:
CRM / Data Administration
Maintain and update the Customer Relationship Management (CRM) system to ensure all information is accurate, consistent, and up to date.
Input new customer / supplier details, update existing records, and monitor data accuracy to support Commercial reporting and analysis.
To accurately input and create Sales Orders / Purchase orders into the system.
Highlight any data discrepancies and work with the relevant teams to resolve any issues that arise.
Support Commercial Manager
Work closely with the Commercial Manager to ensure timely completion of all commercial tasks and documentation.
Monitor the inventory and ensure accuracy.
Follow up on any outstanding queries, tasks, to maintain progress on Commercial projects.
Assist with any Commercial tasks that may arise and require additional support.
Document Management and Compliance
Ensure all necessary paperwork is prepared, checked, signed and filed accurately in line with company standards.
Assist with the filing of compliance documentation, i.e customer contracts, PO's, audit reports, etc.
Customer Communication and Administration:
Act as a first point of contact for general customer enquiries via email and phone.
Provide professional and timely responses, ensuring excellent customer service.
Redirect more complex enquiries to the Commercial Manager or appropriate departments when necessary.
Build positive working relationships with customers, suppliers and internal teams.
Office and Operational Support
Assist with day to day administrative tasks, such as scheduling, preparing documentation, and organising files.
Contribute to the continuous improvement of administrative systems and commercial workflows.
Provide administrative assistance to those outside of the Commercial department where required.
