We are seeking a Commercial & Environmental Coordinator to join our Contracts team, The postholder will provided administrative support to the Commercial and COntracts function and will undertake client facing environmental works. This role requires strong analytical skills, effective communication, an ability to draft documents to a high standard for client consumption and strong attention to detail.
Responsibilities
Environmental
Analysing client design instructions in order to draft and prepare a scope of environmental works for the Design Manager and Design team including: shape files; Easting and Northing coordinates; Determination of the appropriate environmental searches necessary to allow production of the design
Requesting commercial quotes as necessary e.g. for environmental searches and agreeing the most cost effective supplier
Produce the environmental design output for the WFS Design team and client.
Attends client offices and meetings and provide advice and take notes as necessary.
Attend site walks and record and offer advice as necessary to WFS Design team.
Pre-Contracts
Folder Management and Organisation
Ensure project folders are in the correct location based on status of projects
Ensure master list is reflective of folder locations
Create and maintain folders for new opportunities
Complete Bid/No Bid/ Tender summary forms and schedule review meetings
Maintain Bid/No Bid/Tender folders
Trackers
Ensure Weekly Opportunity tracker sheet is updated for regular review
Regularly review appropriate portals to see if any new opportunities are available and advise Pre Contracts Manager accordingly.
Requests for Information/Pre-Qualification Questionnaires
Assist in gathering information from internal stakeholders required to answer RFI/PQQ Tenders
Organizing meetings as necessary to support internal reviews and submission deadlines
Assist with tender administration including preparing proposal documents and deliverables
Subcontract Enquiries
Issue, send and receive subcontractor enquiries.
Liaise with external and internal stakeholders to obtain required quotes and information
Ensure quotes are recorded in reference sheet for future use
Ensure any rate schedules are renewed periodically
Proposals
Prepare simple proposals ready for review/issue (surveys/resource etc.)
Record issued proposal details in relevant trackers
Purchase Orders
Monitor PO receipt so handover can take place to delivery teams
Prepare handover documents and schedule meeting
Plant
Review completed projects to confirm latest plant charges
Send out enquiries for Plant rates required on jobs
General Commercial Administration
Managing and maintaining databases as required.
Providing administrative support as required.
Any other reasonable duties as requested by WorkFlow Services.
Experience
and Education
Degree level education in Environmental Science or other relevant subject
General education to A-level grades BBB or above, or equivalent.
Previous experience within commercial or contracts (desirable).
Strong attention to detail.
Able to draft documents to a high standard for client consumption.
Excellent numeracy skills.
Excellent written and oral communication skills.
Proficient knowledge of Microsoft Office package.
Able to closely follow and enforce Company policy and procedures..
Excellent organisational skills with the ability to manage multiple projects simultaneously while meeting deadlines.
Strong interpersonal skills, enabling effective collaboration across various teams within the organisation.
