The Community Centre Coordinator is responsible for the effective day-to-day coordination, administration, and delivery of services at the Glen Vue Community Hub. The role ensures the smooth operation of centre activities, the delivery of a diverse and engaging programme of events and activities, and the provision of a welcoming, inclusive environment that enhances the wellbeing of older people and the wider community.
The postholder will coordinate front-of-house operations, support facilities administration, manage bookings and activity programmes, and oversee the day-to-day operational support of staff and volunteers, while ensuring activities and events are delivered safely and in line with organisational policies.
Key Responsibilities
Centre Operations & Administration
Coordinate the day-to-day operational running of the Community Hub, ensuring activities and services are delivered smoothly.
Manage room bookings, room hire enquiries, and instructor/partner agreements, acting as the main point of contact for hirers and instructors.
Undertake agreed keyholder responsibilities, including opening and closing the centre as required.
Collate and provide accurate room hire and service information to the finance team to support invoicing processes.
Carry out daily and weekly cashing-up procedures and maintain accurate financial records.
Maintain accurate records using the organisation's CRM system, including memberships and administrative databases.
Develop, maintain, and update the Centre User Manual and contribute to improvements in administrative processes.
Programme, Activities & Events
Plan, organise and coordinate a varied and engaging programme of in-house activities, events, and outings that meet the needs and interests of service users.
Coordinate and attend external trips and the annual holiday, including bookings, logistics, and activity and event specific risk assessments, in collaboration with senior management.
Liaise with entertainers, trainers, instructors, and community partners to enhance the centre's programme of activities.
Collect and review participant feedback to support continuous improvement and the development of new activities aligned with community needs.
Front-of-House & Customer Experience
Act as a welcoming and professional first point of contact for all visitors, members, and partners.
Ensure reception and front-of-house duties are effectively coordinated and that a friendly, inclusive environment is maintained at all times.
Promote centre activities and events through newsletters, timetables, social media, and community outreach.
Produce and distribute regular activity timetables and centre newsletters using the organisation's CRM system.
Ensure activities, events, and outings are delivered safely and in line with health and safety and safeguarding policies.
Develop, review, and update
risk assessments relating to activities and events
, ensuring appropriate controls are in place.
Work collaboratively with colleagues to ensure organisational procedures are followed during service delivery.
Staff & Volunteer Coordination
Coordinate, allocate, and support volunteers in their day-to-day operational roles, providing on-the-job guidance and support to enable effective service delivery.
Foster positive working relationships with volunteers, reception staff, and activity facilitators, encouraging engagement and teamwork.
Support the recruitment, onboarding, and induction of staff and volunteers when required, including assisting with DBS checks, references, and access to systems or information.
Act as a day-to-day point of contact for volunteers and activity facilitators during centre operations.
General & Development Duties
Participate in staff meetings, training sessions, and professional development activities.
Contribute to the development of new initiatives and services that support organisational objectives and community wellbeing.
Maintain confidentiality and comply with data protection requirements.
Demonstrate a commitment to the values and objectives of Age UK East Grinstead & District.
Undertake any other duties appropriate to the role as reasonably required by senior management.
