Purpose of the Role






The main purpose of the job is supervising all aspects of the day to day running and maintenance of the property or properties under the job holders control, including the immediate supervision of staff (if appropriate) and Contractors and ensuring the required standards are achieved and maintained at all times.




Key Responsibilities






Front of House



meeting and greeting all visitors to the building to ensure a warm welcome - you will be the 'face and personality' of the building, delivering exemplary service you will manage reception and building protocols - including sign in portals, meeting room/facilities bookings, post, couriers and reception calls you'll ensure the reception, work hubs and common areas always look amazing and consider finishing touches including flowers, magazines and the tone/style of signage and message boards you will act as sustainability ambassador for the building and be prepared to share and communicate best practice you will develop a good understanding of the local area and develop a local amenities information file - becoming the 'go to expert' in terms of local knowledge you will enthusiastically participate in social engagement to create awareness and encourage dialogue and involvement with the local community/ businesses

Building and Services



you will enjoy developing and managing relationships with key stakeholders and engaging with tenants/occupiers you will support the sales and leasing agents, working to help promote the vacant office space. You will prepare for viewings by ensuring space is looking pristine and ensure a hospitable welcome to potential occupiers you will support the on-site Building Manager by ensuring any building issues are reported, monitored and managed to resolution - keeping stakeholders informed You will assist with managing maintenance contractors and with key handling and building checks you will work with all service partners (contractors, cleaners, security) to ensure consistency of standards and customer friendly behaviour

Initiatives & Community



you will research, gain budget approval and develop a structured seasonal events/added value programme - aimed at delivering a community vibe and offering activities, deals and give-aways to increase enjoyment for those working in the building - this may include organising competitions, give-aways, fitness classes, running clubs and pop-up activity reach out to the local community to find ways of supporting and collaborating that will help to make a real difference and leave a lasting legacy you will communicate activities and drive participation (and feedback), via the building App; email; e-newsletter or electronic noticeboards you'll look to actively promote the building, when relevant, via twitter and social media applications you will also find out what's happening locally and reach out to the local community to find supporting offers to help promote new businesses, local charities and encourage involvement with the building Assist the Building Manager to ensure that the Savills Dashboard is up to date and complete at all times. To ensure that the incoming tenant post is dealt with in an efficient manner. To assist with overseeing the reception area, greeting visitors and directing them to relevant areas of the building. Assist with the conference room management and hire, liaising with tenants over bookings and events. Assist in the processing of invoices, ensuring that they are coded, correctly for processing via Savills ICON system. Ensure that high site standards are achieved and maintained at all times. Assist with the co-ordination of the full range of service charge recoverable services, ensuring compliance with specified standards, quality, time scale and cost objectives. Production and co-ordination of information in line with Savills and client requirements. Create and maintain an effective working relationship with existing suppliers/contractors. Establish and implement best practice whilst ensuring safe working practices are complied with at all times. Ensure appropriate, clear communication lines are established and maintained. Carry out any other reasonable request of the Property Surveyor or Building Manager

Safety & Security



Ensure compliance with all client and Savills procedures and policies, including health and safety, COSHH and environmental matters. Ensure compliance with all statutory requirements and codes of practice, health and safety requirements. Assist with managing the day to day security at the site and investigate raised issues as required. Assist and Supervise the security contractor during periods when a relief guard is working on site

Promotions/ Public Relations



Establishing and developing good relations and partnerships with various authorities and local agencies, notably:- Local authority Police Fire brigade Public transport providers Ensure that all promotional activities are carried out with due care and attention to the health safety and welfare of staff customers and occupiers. Establish and develop close working relationships with tenant representatives and manage tenant satisfaction, and confidence in Savills service delivery.

Quality Assurance



Adhere to all quality assurance requirements. Ensure compliance at all times with operational standards.



Skills, Knowledge and Experience



Candidates will be required to demonstrate the following:

Essential



Self-motivated, able to work on own initiative. Excellent inter-personal skills and a strong commitment to customer service are vital. Some experience in the management of multi let commercial property. Experience in the supervision of contractors and coordinating reactive repairs on site. Good understanding of property management. Effective people management skills. Excellent communications skills and ability to deal with tenant issues on a day today basis. A good knowledge and understanding of legislative health & safety requirements. Good time management skills able to respond to deadlines.

Desirable



Ability to use full range of Microsoft applications inc. Word, Excel, Outlook.
