We're looking for a
Complaints Handler
to join our growing team--someone who is calm under pressure, solutions-focused, and dedicated to turning negative experiences into positive outcomes.
About the Role
As our
Complaints Handler
, you will play a critical role in maintaining our reputation for excellence by professionally and empathetically managing patient concerns and complaints. You'll act as a key liaison between patients and our clinical/administrative teams, ensuring all feedback is resolved in line with industry standards and company values.
Key Responsibilities
Manage and respond to all patient complaints and concerns in a timely, professional, and empathetic manner
Maintain detailed and accurate records of all complaint cases
Investigate issues thoroughly by liaising with relevant departments and clinicians
Draft clear and effective written responses
Ensure compliance with CQC and GDC guidelines relating to complaint handling
Identify trends in complaints to support service improvement initiatives
Provide regular reports and updates to management on complaint outcomes and improvements
Work closely with the patient care and management teams to ensure continuous patient satisfaction
What We're Looking For
Proven experience in a complaints handling, customer service, or patient liaison role (healthcare/dental experience preferred)
Excellent written and verbal communication skills
Strong conflict resolution and negotiation skills
High level of discretion, empathy, and professionalism
Ability to remain calm under pressure and manage sensitive situations with care
Familiarity with GDPR and patient confidentiality regulations
Strong organisational skills and attention to detail
