to support our Registered Manager and wider governance team with the administrative tasks that underpin regulatory compliance. This role will involve maintaining up-to-date records, tracking staff training and documentation, organising audit materials, and assisting with the smooth running of our compliance systems. Duties
Administrative Support for Compliance
Maintain and update compliance-related registers (e.g. training, DBS, policy log, incident tracker)
Organise and file evidence required for CQC, ISO 9001, and NHS contract compliance
Schedule and minute governance meetings, audits, and compliance reviews
Assist with compiling documentation for external audits, inspections, or contract reviews
Training and Personnel Compliance
Monitor training completion rates and assist with booking internal or external training
Keep staff compliance files organised and audit-ready in conjunction with HR.
Policy and Document Management
Support the review schedule for policies and procedures, flagging upcoming review dates
Upload and maintain current versions of policies on internal systems (e.g. SharePoint, staff portal)
Track staff acknowledgements and access logs for new or updated policies
Incident and Governance Record-Keeping
Log incidents, complaints, safeguarding concerns and compliments into designated registers
Ensure timely collation of supporting documentation and escalation to the relevant lead
Assist with producing basic reports or summaries from compliance logs
General Administrative Duties
Respond to internal queries relating to compliance records or document access
Liaise with operational teams to chase missing paperwork or updates
Maintain confidentiality and professionalism when handling sensitive information
Experience
Previous experience in an administrative or clerical role
Strong organisational skills with a high level of attention to detail
Confident using Microsoft Office (particularly Excel, Word, and Outlook)
Experience handling sensitive or confidential information
Ability to prioritise workload and meet deadlines with minimal supervision
Desirable:
Experience working in a healthcare, social care, or regulated environment
Familiarity with compliance, quality assurance, or audit processes
Understanding of Care Quality Commission (CQC) standards or ISO 9001 (training will be provided if needed)
Experience using document management systems or staff compliance trackers (e.g. SharePoint, HRIS, etc.)
