Job Summary
To be the face of the development and Warwick Estates and to ensure that the high standards set by Warwick Estates and its client are adhered to by all persons living in/visiting/working at the development.
Responsibilities & Duties
Site Management
Meet and greet residents, visitors, contractors, in a polite, courteous/professional manner.
Respond to written and verbal, as well as in-person, enquiries from residents, contractors, visitors, Warwick Estates and its client in a timely and professional manner.
Ensure that the highest levels of Customer Service are provided at all times.
Assist Warwick Estates in ensuring the effective security of the building and its residents.
Screen all visitors/contractors an ensure that they are permitted to be in the building. Report any suspicious behaviour to Warwick Estates and call the police, if necessary.
Be responsible for instructing contractors and ensuring any such tasks are recorded on BOSS.
Carry out regular patrols of the building to check for cleanliness, security issues, H&S issues, and such like.
Ensure that the internal and external communal areas are of the highest presentation, including performing spot-cleans if required.
Take in parcels/deliveries in accordance with the Development Regulations.
Be responsible for the management of petty cash.
Site presentation
Maintain cleanliness and tidiness of the Concierge reception at all times, specifically in relation to desks, glazing, floors, deliveries, flower arrangements and lighting. All defects are to be reported to Warwick Estates daily and dealt with as appropriate.
Person hygiene and presentation, including uniform, are to be maintained to the highest standards at all times.
The Concierge office is a place of business. Food must not be consumed behind the desk; neither must jackets or coats be strung over chairs.
To ensure building frontage is kept clean and tidy.
Logbooks
? Maintain daily log of messages, registered post and deliveries and notify owners of parcels received.
? Maintain daily log of visitors on site including all contractors, builders, letting agents, etc.
? Maintain daily log of keys/codes issued. Proof of identity must be provided for all access. All keys must be signed in and out and kept in a secure cabinet.
? Maintain daily time sheet.
? Record any damage caused by moving in/out in the logbook.
? Record any accidents, slip trips or falls in the Accident Report book.
? Record the frequency and results of all tests of emergency equipment to the Fire Logbook and report faults promptly to the {appointed Managing Agent}
Retain the Fire Logbook in an accessible position for inspection by the appointed Managing Agent, Risk Assessor and Fire & Rescue Services.
Security
? Be aware and responsible for all visitors and contractors to site.
? Regular monitor all CCTV and access control systems
Make regular backups of the access contract/IT systems
Patrol at regular intervals, checking all doors and external gates
Report any faults to the access/fire/CCTV systems to the appropriate contracts and { }
Report any health and safety, communal/building defect from patrols
Regularly check the access control systems for lost/stolen cards/fobs
Report any damage to the building, or damage to residents' possessions in public areas to the Property Manager.
Daily/weekly duties
Frequently patrol all communal areas.
Ensure the emergency fittings are always equipped with lamps and in working order, where possible.
All lights are to be checked and lamps replaced as necessary and report any failed lamps when required, where reasonably practicable.
Monitor and test the performance of emergency equipment including fire alarms, smoke detectors, smoke release vents, emergency lighting, fire containment doors and fire exit doors
Pick up any litter found on patrol.
Bins
Ensure that the communal bin store is presentable and that all waste is in the appropriate bins.
Monitor waste collections and ensure bins are returned to the bin store once emptied.
Reporting/Monitoring
In the event of a serious incident, ensure the Police and Warwick Estates are notified.
Report plumbing or electrical faults to Warwick Estates.
This is only for common areas, unless a flat is leaking into the common areas and causing damage.
Intercept anyone entering the development intending to distribute "junk" (i.e. non-Royal Mail) mail.
Deal appropriately with emergencies e.g. summon lift contractors or fire brigades if residents or visitors are trapped in lifts; turn off water mains etc. and notify Warwick Estates.
Alert Managing agents of any incidents/suspicious behaviour. Challenge any unknown persons and report their arrival.
Management of site contractors
All contractors must have the correct authority to carry out repairs/works before commencement.
Routine:
To be aware and responsible for access and routine managements of all approved contractors, such as cleaners, gardeners, service engineers, and window cleaners
Window cleaning will take place on set dates and any access required to apartments must be arranged via Concierge
To check works carried out by such contractors on a regular basis
To report incidents of unsatisfactory work quality to Warwick Estates
Non-routine: (repairs, renewals, and emergencies)
Communal: liaise with the Property Manager in relation to the instruction/timing of the contractor appointment
Apartments: whilst Warwick Estates is not responsible for matters of warranties etc, within apartments, all assistance and advice where practicable, must be rendered to the appropriate resident/contractor. At no time are Concierges permitted to authorise works within an apartment
No keys are to be issued, in any circumstances, to a contractor without the express permission of the resident or developer.
General
Act as a central point of contact and information for owners, residents and visitors to the premises.
Work closely with, and report to, the {appointed Managing Agent}
Offer assistance to residents where necessary, providing common sense is used e.g., no heavy lifting etc.
Strictly enforce the No smoking rule.
Politely request those using mobile phones in the communal areas to speak at a volume that cannot be overheard.
Maintain an up-to-date record of owner's and tenant's names, contract phone numbers, email addresses, letting agents details as appropriate.
Intercept anyone unknown and request identification.
Submit supplies order to Warwick Estates on an ad hoc basis, including light bulbs.
Redirect post belonging to ex-residents, where possible.
Keep a list of suitable contractors for general maintenance and assist owners with sourcing suitable contractors for maintenance of their apartments.
Maintain a tidy workspace.
Keep all areas tidy and free form obstructions.
The moving in and out of tenants is to be overseen (during working hours) and any damage to the communal areas recorded and brought to the attention of the tenants/movers and Warwick Estates as it happens.
No cash/cheques etc is/are to be accepted for Fobs. All payments for Fobs must be made to Warwick Estates directly. Anyone attending the office for a Fob must be directed to Warwick Estates to make a payment. Fobs can only be released once you have spoken with a member of Warwick Estates staff and the release has been authorised. The exchange of Fobs should be recorded in the logbook.
To monitor vehicles entering and exiting the development. If any vehicles, which are not belonging to residents, are parked on site without prior authorisation please notify the Property Manager with the relevant vehicle details.
Maintain and undertake minor gardening work around the development.
Additional Duties
Any other duties as required to keep the development in a good state of repair to the satisfaction of the managing agents and City & Country.
It is important for employees to note that they represent Warwick Estates in managing the affairs of the development including taking responsibility for the administration of employees.
Employees therefore should not be taking instruction from anyone other than directors of City & Country or an employee of Warwick Estates.
If employees are asked to do something and they are unsure where the instruction originates, they should politely decline to act until such time as they have had a direct response from Warwick Estates or the directors of City & Country.
