Bicester Hotel Golf and Spa is seeking a highly organised, commercially minded Conference & Events Planner to join our dynamic team. This is a key revenue-driving role, responsible for converting enquiries into memorable events while delivering exceptional service from first contact to final follow-up.

Responsibilities
Collaborate with clients to understand their event requirements and objectives
Develop comprehensive event plans, including budgeting, scheduling, and logistics
Source and negotiate with vendors such as caterers, decorators, and entertainment providers
Coordinate venue arrangements and oversee setup and breakdown processes
Manage guest lists, invitations, and RSVPs to ensure smooth guest flow
Upsell additional services or packages to maximise event success and client satisfaction
Oversee on-the-day operations to ensure all aspects run smoothly
Handle unforeseen issues promptly and efficiently during events
Maintain organised records of all event details and communications
Assist with fundraising activities related to events when applicable
The Role
As Conference & Events Planner, you will manage and convert enquiries for:
Conferences and corporate events
Weddings and private celebrations
Team building and residential events
Public and revenue-generating hotel events
You will act as the main point of contact for clients, ensuring every enquiry is handled with precision, professionalism, and a strong focus on conversion and revenue growth.
Key Responsibilities
Handle all conference, events, and wedding enquiries accurately and efficiently from initial enquiry to final details.
Proactively follow up all enquiries to maximise conversion and revenue
Plan and coordinate events from booking through to delivery, ensuring exceptional attention to detail
Communicate event requirements clearly and expertly to all relevant departments (Operations, Food & Beverage, Front Office, Golf, Spa, etc.)
Produce accurate, detailed function sheets and ensure all departments are fully briefed by attending weekly function sheet meetings and ensure all departments are communicated to for any amendments.
Build strong relationships with clients to encourage repeat business and referrals
Work with the commercial team to generate ideas to drive revenue within the Conference & Events department
Create and present data, forecasts, and performance reports for revenue and strategy meetings
Develop and propose ideas for public events that enhance the hotel's profile and profitability

Proven experience in conference, events, or wedding planning
Strong sales and conversion mindset with excellent follow-up skills
Exceptional communication skills, both written and verbal
Highly organised with the ability to manage multiple events and priorities
Commercially aware, with confidence using data to support decisions and ideas
A proactive, creative thinker who brings new ideas to the table
Strong attention to detail and commitment to delivering outstanding guest experiences
