We are seeking a highly organised and proactive

Personal Assistant (PA)

to provide comprehensive administrative support within our construction business. This role is central to ensuring smooth office operations, accurate documentation, and efficient communication with community contractors and builders. The successful candidate will combine strong office administration skills with the ability to manage updates across multiple projects, helping the team stay on track and compliant.

Key Responsibilities



Manage schedules, site visits, appointments, and travel arrangements efficiently. Handle correspondence (emails, phone calls, and contractor communications) with professionalism and courtesy. Maintain accurate project records, contracts, permits, and compliance documentation. Prepare, format, and update documents, reports, and presentations using Microsoft Office and Google Workspace. Support bookkeeping tasks (invoices, expenses, payments) using QuickBooks or similar software. Coordinate contractor meetings, distribute agendas, and take accurate minutes to ensure all action points are tracked. Follow up with community contractors and builders to manage updates, progress reports, and deliverables. Support tender/bid preparation and assist in reviewing contractor submissions. Provide general administrative support to enhance team productivity and streamline office workflows.

Requirements



Proven office experience with a strong background in administrative or PA roles (construction or trade industry preferred). Proficient computer skills: Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace. Excellent communication skills with a professional phone manner and ability to liaise confidently with contractors and clients. Exceptional organisational skills with the ability to manage multiple deadlines and priorities. Accurate typing and data entry skills with keen attention to detail. Familiarity with QuickBooks (or similar accounting software) is advantageous but not essential. Previous clerical or administrative experience within construction, real estate, or related industries is desirable.
