We are looking for an experienced and knowledgeable
Contract Manager (HVAC/Chiller).
We specialise in the design, supply, installation and servicing of air conditioning systems and chillers, operating across the UK and internationally.
The Contract Manager is responsible for the effective management and support of allocated service contracts. This includes liaising with engineers, clients, and internal departments to ensure smooth contract delivery, compliance with site requirements, and the development of long-term customer relationships. The role involves ownership of contracts from quotation to completion, alongside ongoing support and administration.
Responsibilities:
Act as the initial point of contact for assigned contracts, ensuring all client queries and requirements are managed effectively.
Liaise closely with engineers working on-site to monitor progress, provide support, and ensure contract obligations are being met.
Manage the full lifecycle of quotations generated from contract works -- from pricing and submission through to follow-up and completion.
Raise and manage purchase orders (POs) for suppliers and subcontractors in line with contract needs.
Book in planned and reactive works with client sites and maintain accurate scheduling in the service diary.
Prepare and issue Risk Assessments and Method Statements (RAMS) in line with company procedures and site-specific requirements.
Conduct regular site visits and meetings to build strong client relationships and ensure satisfaction with service delivery.
Collaborate with the Projects Department to identify and progress new business opportunities within existing contracts.
Perform general day-to-day administration tasks to support the effective running of the contracts department.
Support the Service Manager and office team as required, contributing to a collaborative and responsive working environment.
Take ownership of allocated contracts, proactively identifying opportunities for improvement, increased efficiency, and customer satisfaction.
Key skills:
Strong communication and interpersonal skills, with the ability to build positive relationships at all levels
Organised and detail-oriented, with excellent time management skills
Proactive problem-solver who can work independently and as part of a team
Familiarity with RAMS, PO processes, and contract lifecycle management
Confident in diary management and scheduling
Competent in Microsoft Office and general administrative software
HVAC or service industry experience (preferred but not essential)
