ABOUT THE JOB
We are seeking an experienced industry professional with a proven history of managing a high-profile managing agent framework portfolio to join our operations team.
You will be ultimately responsible to ensure effective and efficient delivery of services to the portfolio by managing, leading by example, mentoring and training the team, ensuring client retention and the consistent delivery of exceptional standards and reporting performance through KPI's and presentations.
To ensure we exceed client expectations in relation to cleaning and associated services and take responsibility for all aspects of management of your portfolio as well as building and maintaining client relationships.
Ensure the consistent delivery of service, whilst driving growth and service enhancements through the provision of innovative and sustainable solutions.
Key areas of responsibility
Operations
To deliver service excellence, constantly developing the service provision and best value through the introduction of innovative and sustainable solutions
To support the operation of all aspects within your portfolio to ensure exceptional service and the continuous development and effectiveness of the team
Work cross-functionally when required to support the wider Operations Team
Ensure the delivery of a consistently high team performance by always exceeding the client and company's expectations, and the contract specification wherever possible
Liaise with clients to ensure any issues are dealt with as efficiently and effectively as possible to ensure we always meet and exceed expectations
Protect and grow our existing business by ensuring clients are always kept informed and provided with details of our corporate initiatives, be that Operational, Environmental, Social or Commercial
Present updates at regular diarised client meetings, providing information on Service Delivery, KPI Performance, Performance Improvements, Innovation and Service Enhancement proposals
Ensure consumables, materials, uniform and equipment are ordered responsibly in line with usage and maintained in line with company procedures and site budgets.
Ensure the fulfilment of site contractual hours through effective management of all absences, both planned and unplanned
Manage the accurate and timely completion of all system based tasks; including stores orders, workbill completion and payroll management.
Commercial Management
Carry out service reviews to ensure the service we are offering always exceeds client expectations, ensuring the accuracy of all budgets and costings, including any service amendments and potential wage/charge increases, and effectively communicate the benefits of recommendations made
Effective management control of all costs associated to each contract, including supporting other business functions in areas such as debt management
Support New Business growth through site surveying, proposal building and presentation.
Manage projects such as mobilisations, change of ownership and terminations, ensuring completion of all tasks and processes
People Management
To deliver and promote excellent customer service and encourage continuous improvement and training/development for colleagues.
To ensure the completion of all colleague related meetings including disciplinary, grievance/mediation, informal discussion, interviews, taking minutes, etc in a professional and empathetic way, in line with company procedures.
Ensure all procedures including payroll and training are followed.
To identify and address any breakdown in team communication or relationships.
Carry out any other duties associated with managing the team, the client sites or the Company's services as requested by the company.
Ensure all colleagues receive and complete the relevant training as required, and ensure compliance and application through questioning, observations and inspections.
Health, Safety & ESG
Ensure all audits are completed accurately, diligently and on time. Identify issues and analyse results to identify trends, taking action to resolve all issues with permanency.
Have a thorough understanding of all ESG (Environmental, Social, and Governance) policies and procedures, and ensure they are implemented effectively within your team.
Ensure that Risk Assessments and Safe Systems of Work (SSOW) are in place, relevant to all activities and effective.
Promote a strong and proactive ESG culture by encouraging the reporting of near misses, conducting regular toolbox talks, site safety inspections, periodic vehicle checks, and supporting internal audits.
Monitor and ensure completion of all required ESG and Health & Safety training annually, verifying its effectiveness through practical application.
Guarantee that all onboarding and site inductions are completed thoroughly and are clearly understood by new and existing colleagues.
Ensure that all Health & Safety protocols are followed consistently -- before, during, and after work is carried out -- to maintain a safe working environment.
Conduct regular site safety inspections and audits to continually improve ESG performance.
Immediately escalate any incidents involving damage to third-party property through the appropriate management channels. Ensure that all required reports are completed and that corrective actions are taken to prevent recurrence.
Ensure Corrective Actions are raised when necessary and they are closed within 30 days.
Actively promote and support Regular Cleaning colleague initiatives such as Regular Rewards, Wagestream, training platforms, social media, sustainability initiatives etc
Support the delivery of our Sustainability Strategy, including social value projects, Net Zero Transition Plan, annual sustainability report and thought leadership content.
Client Relationships
Successfully maintain relationships with clients to ensure client retention
Actively promote the services and respond to any potential opportunities in order to increase client satisfaction or enhance the service provision.
Support the development of collaborative working opportunities with other Service Providers to enhance client and occupier experience.
Communicate with Service Partners to ensure the delivery of all services within the contract.
To create opportunities to enhance social value to clients through initiatives and activities aligned to either our own corporate objectives or the clients
Ensure sustainability messaging is consistent and communicated with clients and colleagues
Development
Demonstrate the ability to manage complex portfolios and clients with high demands and expectations.
Must be willing to commit to their own personal development plans.

Exceptional customer service and communication skills
Organised, methodical, proactive with excellent time management and delegation skills
Experience of managing multi-site contracts, maintaining tight budgetary control and improving margins whilst developing and growing the portfolio
The ability to lead, inspire, train and motivate large teams, whilst addressing People related matters professionally and with empathy.
Ensure compliance with HSQ legislation
Proficient with Microsoft Office package
A high standard of verbal and written English
People management and previous experience in the cleaning industry is essential
Good knowledge of HR procedures and H&S guidelines
To work to a flexible time pattern in order to suit the needs of the business. This may include early mornings, weekends and evenings if required
