Contracts Administrator

to join our high performing

Commercial

team.

LOCATION:

Based in Carnbane Industrial Estate, Newry


CONTRACT TYPE:



Full-time, permanent


HOURS:



40 hours Monday - Friday, with early finish on Fridays




Role Responsibilities




Provide contracts administration support to Commercial Managers, and the wider team of Quantity Surveyors across the Commercial department. Develop and maintain
excellent systems for maintaining contractual documentation for the Commercial department.
Work in partnership with key external stakeholders, including sub-contractors, suppliers and vendors, building strong lines of communication. Work collaboratively with other Cunningham business support functions, including Accounts Payable, Document Control, Procurement, and People Operations. Be an efficient and effective user of all Cunningham systems, with focus on Connect and Pro-Core. Maintain a register of sub-contractor insurance certificates, monitoring for expiry and taking remedial action in advance to ensure all certificates remain
up to date.
Track contract documentation including Collateral Warranties, Sub-Contracts, etc and updating records. Where required, review
valuation dates and update records accordingly.
Track questionnaires, liaising with SHEQ team for approvals and Accounts Payable for updating records on Connect. Assist the People Team with onboarding of all sub-contractors, ensuring that all sub-contractors understand Cunningham processes and requirements, and complete online induction ahead of arrival to site. Liaise with Site Administrators to advise of scheduled sub-contractors arriving on-site, sending weekly schedules in advance. Liaise with internal and external Design Teams on Design &
Build projects to obtain interim design certificates on a regular basis.
With support from the Quantity Surveying team, compile and maintain ancillary certification from both suppliers and sub-contractors, reviewing monthly. Assistance with compiling procurement documentation and site documentation as required. Attend Commercial, pre-award and sub-contractor meetings to take accurate
minutes, and issue to all relevant parties

in a timely manner.
Where required, assist with the QS controlled supplier registers. Any other general administrative duties as required to support the Commercial department.



The Candidate




Qualifications & Experience:




Demonstrable experience in contract administration or a similar role. Experience in the construction industry would be beneficial but not essential. Experience of maintaining an organised system of contractual (or similar) documentation & correspondence, e.g. commercial / client correspondence. Confident user of business IT systems, ideally to include experience of a finance invoicing system or ERP.

Skills & Attributes:




Highly organised with strong documentation and record keeping skills. Excellent communication skills, with focus on a high standard of written communication.
