The Conveyancing Legal Secretary plays a pivotal role in supporting conveyancing solicitors throughout residential (and potentially commercial) property transactions. You'll manage administrative duties, client communication, and legal documentation to ensure smooth, efficient conveyancing processes
Key Responsibilities
Secretarial & Administrative Support
Audio and copy-typing correspondence, contracts, transfer deeds and Land Registry forms using digital dictation and word processing
Managing diaries, scheduling client meetings, appointments and travel arrangements
Photocopying, scanning, filing, sending/receiving post, and general office tasks
Case File and Document Management
Opening, maintaining, and closing client files using your firm's case management system
Preparing and filing documents such as contracts, SDLT forms, quotes, client care letters, completion statements, and post-completion documents
Client & Stakeholder Liaison
Acting as a key point of contact for clients, estate agents, mortgage lenders, local authorities, and other professionals
Providing regular updates on case status, chasing documents, and managing expectations on timings
Conveyancing Searches & Legal Compliance
Ordering and compiling property searches (local authority, environmental, water, flood, etc.), and submitting Land Registry and SDLT applications
Assisting with AML checks and ensuring compliance with internal and regulatory procedures jobleads.com.
Essential Skills & Experience
Proven secretarial experience in a conveyancing department (minimum 6 months-2 years)
Fast and accurate audio typing using digital dictation and MS Word/Office
Competency with case management systems, Outlook, Excel
Excellent organisational and multitasking skills, with strong attention to detail
Strong verbal and written communication, client-focused and professional on the phone
Ability to work under pressure to meet deadlines in a busy environment .
Desirable Attributes
Conveyancing-related qualifications or training (e.g., Legal Secretary Diploma, ILSPA)
Experience with post-completion tasks like Land Registry applications and SDLT submissions
Familiarity with AML processes and complaint handling .
