Job Description

Oxford Lifelong Learning is seeking to appoint a Courses Administrator, based at the Language Centre, the University's home for all students, academic and professional staff who want to improve their language skills, as well as members of the wider Oxford community.

About the role


You will work collaboratively with other course administrators, with fellow members of the administration team, the senior management team and the language tutors, taking responsibility for ensuring the smooth operation of Language Centre courses. You will support the creation of the timetable and class registers; undertake day-to-day financial administration and undertake office administration duties. You will also staff reception on a rota and provide basic help to tutors with AV/IT, especially in the classrooms.

Full training will be provided on the AccessPlanIt booking system used in the Centre and on Oracle Financials. Basic training will be available for Microsoft PowerAutomate.

This is a full-time position, available on a 12-month fixed-term contract and as a secondment opportunity. It is a predominantly office-based role with fixed hours of 09:00-17:20, due to the customer-facing duties and the need to work collaboratively with other members of the team and department.

The Language Centre teaches on bank holidays during term time (generally the two bank holidays in May) so these are core contractual hours. Additional days for the same amount of leave will be given to compensate.

About you


You will be a flexible and enthusiastic administrator with a keen customer-service focus, who enjoys team working in a multicultural setting and providing a professional, friendly and efficient service to the Language Centre's students and staff. You will be educated to A level or equivalent with strong oral and written communication skills, experience of financial administration and excellent IT skills.
