Our Client, A Large Public Sector Organisation based in Portstewart require a Customer Service Administrator to join their team.

Casual Hours - Approx. 27 hours per week. Additional hours may be required to meet the needs of the service, evenings and weekends, Mon - Sat

Location - Portstewart

Main Duties:

  • Provide an efficient, professional, comprehensive customer focused service in relation to internal and external communications with visitors to the Arts Centre and to the general public.
  • As first point of contact for customers and general public, manage all enquiries received by phone or email, providing relevant information in response to queries, and redirecting to appropriate staff when necessary.
  • Administer computerized booking system for all events, activities and workshops including creating and maintaining box office administration such as enrolment sheets, event attendance sheets, parental consent forms and customer information databases.
  • Process all bookings, gift shop, refreshment and gallery sales including using till and cash handling.
  • Maintain efficient financial records and invoicing for general financial transactions including sales and venue hire administration and in the absence of the Administration Officer, process lodgements.
  • As first point of contact for venue hire enquiries, assist with the management of room bookings including issuing booking forms, collating client requirements and redirect to the Operations Officer when necessary to ensure effective customer service.
  • Provide general administrative and clerical support to the Cultural Services team, including word processing, filing, photocopying, handling incoming and outgoing mail, compiling and issuing operational templates such as activity calendars, staff diary.
  • Assist with the collation of monitoring and evaluation data, distributing evaluation sheets, conducting surveys and compiling information as requested.
  • Assist at events, functions and meetings where necessary, providing front of house duties and hospitality.
  • Assist with the supervision of caf\xc3\xa9, galleries and gift shop maintaining vigilance and reporting any incidents to the Duty Officer.
  • Responsible for presentation of gift shop area and display, pricing and carrying out regular stock-takes of gift shop items and refreshments and assist with the sourcing of new sales stock.
  • Assist in the promotion of the Arts Centre including tours of the facility, administering mailshots and distributing marketing material.
  • Take minutes of staff meetings and disseminate information to staff when requested.
  • Undertake any training relevant to the post as requested.
Criteria

A minimum of four GCSE (Grade A-C) or equivalent, including English language and be able to demonstrate on the application form, by providing personal and specific examples, a minimum of one years customer services experience. This experience must include the following: * Receive and transfer telephone calls
  • Communicate face to face with facility visitors and customers providing excellent customer services
  • Respond to customer queries, concerns or complaints in accordance with facility guidance and procedures
  • Co-ordinate room booking, arrange equipment and organise catering when required
  • Co-ordinate mail and deliveries within the centre
  • Handle cash
OR

Alternatively, consideration will be given to applicants who do not possess the required educational qualification outlined above but can demonstrate, by providing personal and specific examples that they have at least two years\' customer services experience to include the areas 1-6 outlined above.

AND

One years\' experience of using Microsoft office applications to include, Word, Excel and Outlook.
