Job Description

Cr Allen and Son's is a family run automotive business which has been established for 40 years and currently stands at 5 full time technicians.

They are now seeking an Service desk assistant to join the team to assist on the front desk booking in customers and assist with general administration duties.

The role includes dealing with customers, coordinating technicians and workloads, supporting the customer service staff, ordering and sourcing parts, quoting jobs and taking payments.

They will working on the companies bespoke software package to assist them in completing these duties.

Purpose of the Role



To be the first point of contact for customers, visitors, and callers; to represent C.R. Allen's & Sons with professionalism and friendliness. Provide excellent customer service, manage enquiries, support administrative duties and ensure smooth operation of the front desk / customer service desk.

Key Responsibilities / Duties



Greet customers, visitors, and callers in a courteous, professional manner. Answer, screen and direct telephone calls; take and relay messages when necessary. Handle customer enquiries (in person, by phone, by email) and resolve or escalate as required. Receive and process incoming mail and deliveries; prepare outgoing mail. Maintain and update customer records and databases accurately. Schedule appointments, meetings or service times, as relevant. Maintain reception area: tidy, welcoming, stocked with information (leaflets, forms etc.). Process payments or invoices at the desk, if applicable. Assist with general administrative tasks: photocopying, filing, scanning, printing. Coordinate with other departments (sales, service, workshop etc.) to respond to customer / visitor needs. Ensure compliance with company policies (health & safety, confidentiality, data protection). Monitor and order supplies for reception / front desk (stationery, brochures etc.).
Person Specification

Essential Skills & Experience



Previous experience in a customer-facing / receptionist role. Excellent verbal and written communication skills. Strong telephone manner. Good organisational skills; ability to multitask and prioritise. Proficiency with Microsoft Office (Outlook, Word, Excel). A professional, friendly, approachable manner. Accuracy and attention to detail. Ability to work as part of a team as well as on own initiative.

Desirable Skills & Experience



Experience in Motor trade desirable but not essential. Basic administrative qualifications or training (e.g. NVQ, equivalent). Some knowledge of accounting / invoicing / cash handling.
Other Requirements

Good timekeeping and reliability. Smart professional appearance. Basic literacy & numeracy; GCSEs in English & Maths or equivalent desirable. Valid right to work in UK.
Full training will be provided to the successful candidate.

You will be required to work Monday-Friday 8am -6pm as well as alternate Saturday mornings 8am -1pm.
