Role Overview



To support contracts team with site or internal matters, enable maintaining smooth running of sites/projects.

Be a point of contact for customers, providing assistance with enquiries, resolving issues and ensuring customer satisfaction.

Engage with tenants to make bookings for remediations or installs and deal with any queries arising from such and update Monday/Client Portal as required.

Update systems and processes to effectively manage and record workload.

To engage with internal staff and provide support for Project Co-Ordinators and Contract Managers.

Complete training as assigned by team leader.

Keep Compliments/Complaints Register up to date

Key Responsibilities



? Accurately input and update daily tasks using clients' online portals and internal systems (e.g., Monday.com), including enquiries, variations, handover documentation, and interaction logs -- ensuring all systems remain current and up to date.

? Manage shared inboxes and respond to all emails within 2 hours; flag incomplete items for follow-up and ensure inboxes are cleared daily.

? Handle incoming calls and front door entry requests professionally; divert or take messages where appropriate, ensuring timely follow-up.

? Process incoming Purchase Orders: allocate job numbers, set up client folders, and forward to the Operations Manager for further action.

? Coordinate with clients on the programme of works and update internal systems with outcomes and changes.

? Liaise with tenants and scheme managers regarding site access, log no-access incidents in Monday/SharePoint, and follow Section 20 of Scheme protocols.

? Administer FIRAS and IFC-related tasks, including CIH registrations.

? Support Radar and Bolster system management by creating users and generating reports.

? Prepare and dispatch contact letters to tenants, manage supporting paperwork, and ensure follow-through on site-related requests within the same working day.

? Finalise projects by compiling O&M documentation and collaborating with Purchasing to resolve outstanding items.

? Assist commercial department with valuations where required

? Follow established processes to support both on-site and internal office operations efficiently.

? Stay informed of updated regulations, demonstrating a thorough understanding in all areas of compliance and documentation.

? Effectively manage personal workload, assist colleagues when needed, and ensure all daily responsibilities are completed consistently and to a high standard.

Requirements



Computer literate in software such as Microsoft Outlook Express, Microsoft Excel, Microsoft Word. (Fulcrum, Office 365, Bolster an advantage) GCSE / A Level Business Management / Business Administration NVQ or equivalent Ideally have a minimum of 6 months' experience in a similar role Previous Administration/Operations experience is essential Willingness to learn and training in the Construction / Passive Fire Protection
