Job Description

This is a new role, one designed to assist the Customer Services Executives (also known as Project Managers) in their day to day dealings with clients and to act as a liaison with all production departments.

To help the Customer Services Executives in the performance of their jobs to ensure smooth interactions with our clients, this may include visiting construction sites with the CSE to assist with surveys, site meetings, scheduling etc; To assist with providing quotations, to produce quotations, to ensure they are sent to clients in a timely manner (within 24 hours of request) and to help maximise the potential of each quotation. Also to monitor the success of quotations (did we get the job, was it accepted as quoted, did the quote have to change and if so, why); To maintain contact with clients (when a CSE is away on site or on holiday for example) and to ensure that all client details are current and up to date. This might include job anniversaries, birthdays, following on social media etc. This will mean keeping any CRM system up to date and relevant; To assist in the preparation of works instructions for all departments, validate their accuracy and ensure that work's instructions are clear, precise, understood and followed throughout the manufacturing process; To assist in the dissection of supplier quotes versus actual invoices i.e to compare the invoices from subbies (for example), compare them to the estimated or calculated costs and to determine and report on any variations both positive and negative. For clarity this does not mean any invoices for general materials used in the production process; To keep on top of job progress, ensuring (where possible) that artwork (for example) is with us in time, that production departments are aware of schedules and change of schedules, that crews have been booked, deliveries organised and, if possible, ensuring that sites are aware of our impending installations etc; To help in investigations of remedial work, the reasons why, the impacts of and assisting in future preventive measures; To assist in the preparation of reports, charts, graphs etc so that results, trends, performance etc can be easily monitored.
