About the Role



Epping Forest District Council are looking to add a fixed term Electoral Support Assistant for 4.5 months to join their team, to provide vital frontline administrative and clerical support.

The role will have a strong emphasis on handling telephone enquiries, assisting with electoral registration, election administration, and ensuring excellent customer service to electors and stakeholders.

Key Responsibilities

Telephone & Customer Service Duties



Respond promptly and professionally to telepone enquiries from members of the public, elected officials, and other stakeholders. Provide accurate information regarding voter registration, postal and Proxy voting, voter ID requirements and election dates. Handle sensitive queries with discretion, ensuring compliance with data protection regulations . Escalate complex or urgent issues to senior team members as appropriate.

Electoral Registration



Assist with processing applications for registration, absent votes and Voter Authority Certificates. Verify documentation and eligibility of applicants Maintain accurate records using electoral management Software.

Election Administration



Support the preparation and distribution of election materians (e.g. ballot boxes, polling station supplies.) Assist with staffing arrangements and training for polling and count staff. Help coordinate postal vote opening sessions and other election events.

General Administrative Support



Maintain up-to-date databases and filing systems. Support the team with mailouts, printing and document scanning. Attend trainig sessions and contribute to continuous improvement.


As an Electoral Support Assistant, you will handle customer enquiries by phone, email and in person, ensuring a high standard of customer service.

Work flexible, especially around election deadlines and on polling day with posisble late evenings. Operate general ofice equipment and provide a range of office support services. Support in maintaining a complex data base, ensuring information is accurate, secure anf GDPR compliant. Assist with postal viote and Proxy applications.

About you

Essential Skills & Experience

Excellent telephone manner and communication skills. Strong attention to detail and data accuracy. Experience in a customer-facing or administrative role. Ability to work under pressure and meet statutory deadlines. Proficient in Microsoft Office and electoral software (training provided).

Desirable



Knowledge of electoral law and procedures. Experience working in a local government or democratic services environment.

Working Arrangements



This role is offered on a hybrid basis although there will be an expectation to be in the office full time from 1 March until the end of the contract.
