to join our busy

Planning Department

at Wilkes. This is an excellent opportunity for someone with strong data management and analytical skills to play a key role in supporting the team's day-to-day operations and strategic projects. This role will be based in our

Birmingham City Centre office

.

We are interested in finding the right person to join our team, and as such while legal experience is a positive, we are more interested in finding the "right fit" for the department who can actively influence the way that the team works. We are looking for someone with a passion for, and a desire to, make a difference.

The key purpose of this role is to assist and support the Partner and other solicitors in the team, by managing all administrative tasks, such as taking calls from clients and passing on messages, opening and closing files, drafting correspondence and ensuring all documentation associated with a case is filed correctly.

Planning work involves a great deal of process, ensuring that actions (e.g. completing application forms, collating calculations, tracking planning applications, etc) are taken at the correct time and are monitored throughout. Therefore we are looking for someone who can quickly learn new processes, understands them and will endeavour to suggest improvements where necessary. In addition, a large part of the data we hold for our Planning cases is in Excel, and so candidates for this role will need an intermediate knowledge of spreadsheets as a minimum, ideally advanced.

Whilst we are ideally looking for someone to work full-time (35 hours per week), we will consider applications from candidates looking for part-time/flexible working arrangements, minimum of 28 hours per week.

What we're looking for



At least 2-3 years' experience in an administrative role - ideally in a law firm but this is not essential. Excellent phone manner, with proven ability to deal efficiently, patiently, and courteously with telephone queries. Proactive approach to work, and displays a can-do attitude at all times. Highly organised, with a methodical approach to work and ensuring that all tasks are completed with a high degree of accuracy. Excellent attention to detail. Maintain and analyse data using Excel (including VLOOKUP and other advanced functions). Support the administration of Section 106 agreements and work on public portals. Assist with general administrative duties to ensure the smooth running of the department. Contribute to ad-hoc projects and administrative process improvements Excellent general IT skills, including Outlook and Word. Able to pick up new IT systems quickly - ideally experience of using a legal case management system or similar. Able to balance competing priorities and work to deadlines and targets. Good interpersonal skills and proven ability to build effective working relationships with colleagues. Previous experience of Planning would be an advantage, but not essential.
