Function of the post:



Oversee & manage MIS systems and processes for data input, reporting, and management to meet regulatory, school, and Trust standards. Support senior leaders and teachers with assessment data entry. Produce data analysis for reports to stakeholders throughout the data calendar. Effectively manage admissions and assessment processes and contribute to ongoing administrative improvements.

This includes all data which is critical to school compliance, performance and student outcomes.

Principal Accountabilities:



1. Use Arbor (MIS system) to accurately record all academy admissions, both annual and in-year, following established procedures. Efficiently manage all admissions administration, communications, and appeals within set timelines; coordinate with relevant parties and provide regular staff updates. Work closely with the Transition Lead to oversee and lead the transition process administration.

2. Lead and manage internal data processes according to statutory and system requirements including the pupil transfer processes.

3. Utilise a comprehensive and strategic approach to consistently support the school's administrative data processes, including general office duties and responding to external enquiries as needed. Ensure that IT requirements and training are in place to facilitate effective school operations. Lead the strategic development of administrative processes relating to all school data.

4. Maintain the integrity and confidentiality requirements of the MIS student and staff database, ensuring accurate class lists and up-to-date pupil numbers for school reporting purposes. Maintain relevant lists to identify and address any gaps as needed.

5. Utilising student grade tracking software, FFT and SISRA alongside MIS and internal data documents, Manage the process of identifying anomalies and errors in order to ensure accuracy at all times. This is critical to accurate forecasting, student support and integration with examination preparation.

6. Manage data collections across the whole school team. Organise and report statistical data, including pupil assessment information, ensuring statutory submissions are accurate and completed within specified deadlines. Produce data analysis for reports to stakeholders. Liaise with the teaching team, SLT, and DHT to provide information in the required format and according to set criteria, while developing and refining systems and processes to support effective and efficient service delivery.

7. Input & download, all data to ensure the effective utilisation of electronic systems for maximum value and efficiency. Complete all required student returns, such as the termly census, within set deadlines, and maintain accurate staff, governor, and pupil records and lists within Arbor.

8. Comply with all relevant data protection laws and Trust or Academy policies.

Other duties:



1. Manage data entry and reporting tasks for the SENDCo, including developing, creating, and completing reporting systems and tools for SEN student analysis.

2. Serving as the Arbor (MIS system) specialist, providing support to the Academy and its stakeholders, including external assistance to parents and carers.

3. Focus on improving administrative support processes to enhance accuracy, ensure timely delivery, and maintain professional standards.

4. Prompt dissemination of HCC wide communications to Academy stakeholders

5. Evaluation and testing of new software programs to assess their suitability for future implementation within the Academy.

6. Develop a working knowledge of the Exams Officer Role

7. Provide additional administrative capacity for the Exams Officer at Key points in the Examination calendar.
