Purpose of the role
To provide a professional, welcoming first point of contact for patients and visitors, and to deliver an efficient reception and administrative service that supports high?quality dental care and smooth day?to?day running of the practice.
Key responsibilities
Greet patients and visitors in a friendly, professional manner, ensuring they feel welcomed and supported.
Answer and make telephone calls, manage email enquiries, and handle messages for clinicians, prioritising urgent issues appropriately.
Schedule, amend and cancel appointments using the practice's computerised diary system; manage recalls and waiting lists to optimise chair time.
Register new patients and maintain accurate, up?to?date patient records in line with data protection and confidentiality requirements.
Take payments (NHS and private), check exemptions, issue receipts and follow practice procedures for banking and end?of?day cashing up.
Provide clear, courteous information to patients about appointment times, basic treatment processes and practice policies, escalating clinical or complex queries to the dental team.
Support triage of urgent patients under guidance from clinicians, booking appropriate emergency or urgent slots where needed.
Keep reception and waiting areas clean, tidy and presentable at all times.
Follow all practice policies and procedures, including health and safety, infection control, confidentiality and GDPR.
Work closely with dentists, dental nurses and management to ensure smooth patient flow and good communication within the team.
Person specification
Essential
Previous customer?facing or reception experience, ideally in healthcare or dental.
Excellent communication skills and a friendly, professional telephone manner.
Strong organisational skills, with the ability to multitask and remain calm under pressure.
Confident using computers and practice management/booking systems (training provided).
Attention to detail and accuracy in handling patient records and payments.
Commitment to confidentiality, professionalism and putting patients' interests first in line with GDC standards for the dental team.
Desirable
Experience working in a dental or medical practice.
Knowledge of NHS dental processes and terminology.
Experience handling cash and card payments and basic end?of?day reconciliation.
