The Receptionist is the first point of contact for patients and visitors to the practice. Therefore, it is imperative that anyone working in reception should command a professional, friendly, polite and welcoming manner. As part of the dental team, the Receptionist's role is to assist in the smooth and efficient running of the practice, as well as to adhere to protocols at all times in line with company strategy, goals and values.
Customer Service
Greet and care for all patients and visitors to the practice in a polite and courteous manner at all times
Deal with enquiries both in person and on the telephone/email in a polite and professional manner
Be aware of and maintain patient confidentiality
Notify providers of the patient's arrival
Schedule appropriate appointments, liaising with the provider where necessary
Accurately maintain file records and update information from patients
Ensure medical history forms are signed and updated
Provide courtesy calls to patients where necessary
Ensure patients receive any necessary paperwork
Ensure appropriate treatment estimates have been signed by the patient/patient's guardian
Record on the computer all relevant conversations with the patient
Handle complaints in accordance with the practice complaints procedure
Promote a professional image of the practice at all times and be knowledgeable about the services the practice provides
Business Focus
Monitor the appointment book in order to maximise the available appointment times
Encourage patients to give as much notice as possible if they needs to cancel or rearrange appointments particularly for longer appointments
Collect monies from patients for treatment and record receipts
Report any equipment breakdowns to the practice manager or troubleshoot to get equipment working again
Maintain stocks of the sundry products sold by the practice and ensure stock is ordered as necessary
Promote private dental insurance option to patients and take responsibility for online enrolment of patients
Ensure that patients with outstanding treatments are contacted
General
Follow all procedures and protocols in the Reception Manual
Maintain reception as a welcoming, pleasing and orderly area
Sell sundry healthcare products and give advice where necessary under recommendations by the practice clinical staff
Ensure that the health and safety policy of the practice is adhered to
Anticipate patients' anxieties and put them at ease
The working hours will be:-
24-32 hours per week, working from 8.45am to 5.45pm .
Combination of shift patterns from:-
Monday 08:45 to 17:45
Tuesday 08:45 to 17:45
Wednesday 08:45 to 17:45
Thursday 08:45 to 17:45
Friday 08:45 to 14:45
A degree of flexibility will be required to assist in the smooth running of the practice
