We are looking for a friendly, organised, and professional
Dental Receptionist
to join our team. You will be the first point of contact for our patients, ensuring they receive an excellent front-of-house experience while supporting the smooth running of the practice. You will work closely alongside the Head Receptionist/Administrator and the wider dental team to deliver a seamless patient journey.

Key Responsibilities
Reception Duties:
Welcome and check in patients promptly for every appointment
Verify and update patient demographic details at each visit, including next of kin and ethnicity
Process patients who do not attend (DNA) in line with practice policy
Liaise with nursing teams regarding late arrivals or cancellations
Schedule follow-up appointments as requested by clinicians within appropriate timeframes
Answer telephone calls courteously and direct enquiries appropriately
Book interpreters in a timely manner
Manage incoming mail and emails, ensuring they are directed correctly
Maintain accurate filing systems
Call Handling:
Answer calls professionally, following the call script at all times
Handle patient enquiries in line with standard operating procedures
Manage appointment bookings, cancellations, and short-notice changes
Communicate effectively with clinicians regarding patient or clinic queries
Referral Processing and Booking:
Accurately record and update referral and patient details on Dentally and Dengro
Prioritise referrals and fast-track where necessary
Ensure referrals are vetted and processed according to clinical instructions
Book patients into the correct clinics and monitor capacity
Send appropriate correspondence to patients as required
To ensure all available clinic capacity is fully utilised
Assist in managing NHS referrals in line with Standard Operating Procedures (SOPs)
Patient Records:
Locate and provide health records promptly when requested
Maintain and update non-clinical sections of patient records on Dentally, including archiving and payment records
General Duties:
Present a positive image of the practice at all times
Follow all practice processes and maintain confidentiality in line with legislation and policy
Assist with training new or temporary staff when required
Be adaptable to new technology and service improvements
Participate in team meetings and maintain stock levels for smooth operations
Non-Essential Responsibilities:
Perform other duties as requested from time to time
What We're Looking For
Previous experience as a receptionist, ideally in a healthcare or dental setting
Minimum 2 years' administrative experience, working as a receptionist with face-to-face and telephone contact with the public
Committed to delivering outstanding customer care and ensuring a seamless patient experience
Excellent communication and interpersonal skills, including a professional telephone manner, tact, and diplomacy
Excellent organisational skills and attention to detail
Strong literacy and numeracy skills
Ability to prioritise and manage time effectively to meet deadlines
Ability to analyse information and communicate clearly
Proficiency in Microsoft Office (Word, Excel, Access, Outlook, PowerPoint)
Calm and professional approach with patients
Full UK driving licence
Desirable:
Experience with Dentally PMS
Experience using DenGro CRM
Knowledge of dental terminology
Experience working in a mixed NHS/Private dental practice
Qualification in administration or related field
Up-to-date with mandatory and statutory training
Qualifications
Good level of basic education (at least 3 standard grades at level 3 or above, or equivalent)
Qualification in administration or related field (e.g., SVQ Level 3 Administration) is desirable
