As the first point of contact for patients, the Dental Receptionist plays a crucial role in providing a welcoming and efficient front-of-house service. This role ensures that patients receive a high standard of customer service while supporting the smooth running of the dental practice through excellent administrative and communication skills.
Key Responsibilities: Patient Interaction & Customer Service
Greet patients in a friendly, professional, and courteous manner.
Handle all incoming calls, emails, and face-to-face enquiries promptly and efficiently.
Book, reschedule, and cancel appointments using the practice management system.
Ensure patient records are kept up to date and confidential in accordance with GDPR.
Manage patient check-in and check-out processes, including taking payments and issuing receipts.
Address patient concerns or complaints calmly and appropriately, escalating when necessary.
Administrative Duties
Maintain and manage appointment diaries for clinicians, ensuring efficient scheduling.
Process referrals and maintain accurate logs.
Liaise with NHS patients regarding treatment plans and payment queries.
Handle incoming and outgoing correspondence, including emails and post.
Ensure reception area is clean, tidy, and stocked with relevant materials (forms, leaflets, etc.).
Assist with daily administrative tasks such as scanning, filing.
Team Support
Communicate effectively with clinical and non-clinical staff to ensure smooth patient flow.
Participate in team meetings and staff training sessions.
Follow all practice policies, procedures, and compliance regulations including CQC and health & safety standards.
Take delegated instructions from the Principle
Person Specification ( we are a practice who encourage training and development ):
Previous experience in a customer service or receptionist role
Excellent verbal and written communication skills
Strong organisational and multitasking abilities
Friendly and professional demeanour
Confident using computers and practice management systems (training provided if needed)
Discretion and confidentiality when handling patient data
Desirable but not expected ( we are a practice who encourage training and development )
Understanding of NHS
Working Hours:
Minimum 3 Days a Week.
